Job Description

Naxa is looking for highly motivated and experienced Logistics Assistant to support our Admin and Operations team. The role involves asset management, procurement coordination, inventory tracking, and providing logistical support to ensure smooth daily operations. You’ll also work with other departments to streamline purchasing, maintain compliance, and assist with office management tasks.

Key Responsibilities

1. Asset & Inventory Management

  • Assist in procuring office supplies and equipment based on organizational needs.
  • Maintain up-to-date records of physical and digital assets, including tagging, tracking, and handover documentation.
  • Conduct routine checks on equipment and furniture; report maintenance or upgrade requirements.
  • Monitor stock levels and ensure timely replenishment of essential items.

2. Procurement & Purchasing

  • Liaise with vendors to collect quotations and ensure timely procurement of goods and services.
  • Follow procurement procedures, maintain vendor databases, and update procurement master sheets.
  • Coordinate with Admin and Finance teams for efficient purchase processing and documentation.

3. Operational & Administrative Support

  • Support office operations, including utilities management (electricity, internet), workspace setup, and supply logistics.
  • Assist in organizing events, workshops, and meetings—handling logistics such as venue booking, catering, and material preparation.
  • Collaborate with internal teams to meet routine and ad-hoc operational needs.

4. Support for Side Ventures

  • Provide basic operational and financial support to NAXA’s side initiatives (e.g., Lunchbox), including billing and payment tracking.
  • Assist in addressing and escalating internal administrative or HR-related concerns as needed.

5. Coordination & Reporting

  • Submit regular updates to the Admin and Operations Officer on inventory status, procurement activities, and asset usage.
  • Ensure proper documentation and filing of receipts, invoices, and transaction records.

6. Vendor Management

  • Develop and maintain strong relationships with trusted vendors and suppliers.
  • Conduct performance evaluations and due diligence before onboarding new vendors.
  • Ensure all procurement practices align with legal and organizational standards.

7. Process Improvement & Compliance

  • Identify opportunities to enhance operational workflows and reduce costs.
  • Ensure adherence to NAXA’s internal policies and procurement regulations.
  • Stay updated on best practices in logistics, supply chain, and asset management.
