Working with media and communication to help reduce poverty and support people in claiming their rights, our aim is to inform, connect and empower people around the world. BBC Media Action reaches some 200 million people through local broadcast partners, BBC channels (especially the BBC World Service), online, mobile and print platforms and through interpersonal communication. We are currently delivering projects in 24 countries, including in Nepal. BBC Media Action has been working on communication for development projects in Nepal since 2007, giving us a well-developed understanding of Nepali audiences and significant experience of producing and evaluating media content on a range of issues to diverse target audiences.

A. Context

Established in 1998, BBC Media Action is the BBC’s international development charity. BBC Media Action uses media and communications to help reduce poverty and support people in claiming their rights, our aim is to inform, connect and empower people around the world. We do this through our focus on health, governance and rights, resilience, and humanitarian response, partnering with civil society, local media, and governments to produce creative programmes in multi-media formats which inform and engage audiences and strengthen the media sector through building professional capacity and infrastructure.  

BBC Media Action Nepal is seeking potential applicants for the position of “HR and Admin Associate”.

B. Job Purpose

The HR and Admin Associate will be responsible for effective delivery of all HR, administrative and logistic support to the Nepal office. 

C. Main Duties and Responsibilities

Human Resource

  • Support in implementing BBC Media Action HR policies across its operation. 
  • Ensure staff and consultants are recruited as per Recruitment Policies, preparing Job Description, assessing the degree of safeguarding expertise required for a particular role, posting job adverts, screening applications, arranging interview, cross checking personal and professional references of candidates etc. 
  • Oversee induction process for both staff members and freelancers.
  • Ensure that all the personal files and other staff records are confidentially recorded in the HR Database and maintained as per the General Data Protection Regulation.
  • Ensure that the HR practices of country office is in compliance with the prevalent labour laws and regulations and the same is reflected in the staff handbook. 
  • Oversee and ensure timely submission of monthly timesheets from the staff members and maintain accurate leave and attendance records. 
  • Contract Management – staff, freelancers, suppliers, insurance companies, vendors etc. 
  • Oversee staff benefit and compensation in line with labour law, organisational policy, and budget. 
  • Support in ensuring Nepal office has diverse and inclusive team.
  • Support in grievance handling and disciplinary actions in accordance with organisational polices.
  • Provide overall HR support as and where required.

Administration

  • Overseeing all local insurance policies.
  • Provide support to Finance and Admin team in procurement of goods, which includes, but not limited to collecting quotations, preparing bid, comparative analysis, and payment recommendation in line with procurement policy. 
  • Provide support in all local travel of staff members, trainers, visitors, and consultants including but not limited to, ticket booking, ensuring approval of risk assessment and travel authorization, hotel/accommodation arrangement and visa process as and when required and making other travel arrangements accordingly.
  • Provide administrative and logistic support to the project team where required.

D. Essential Skills and Experience

  • Minimum University degree in in management, business administration or related field.
  • Minimum 2 years of relevant experience.
  • Must have sound knowledge on computer (MS Word, Excel, and Power Point).
  • Ability to deal maturely and tactfully with confidential material.
  • Ability to multi-task and manage time effectively.
  • Able to identify and apply opportunities for learning and development.
  • Fluent in writing and speaking in English.
