A. Context

BBC Media Action uses media and communications to help reduce poverty and support people in claiming their rights, our aim is to inform, connect and empower people around the world. We do this through our focus on health, governance and rights, resilience, and humanitarian response, partnering with civil society, local media and governments to produce creative programmes in multi-media formats which inform and engage audiences and strengthen the media sector through building professional capacity and infrastructure. 

BBC Media Action global team is seeking potential applicants for the position of “Global Finance Coordinator”. 

B. Job purpose

To provide a proficient and professional payments service while maintaining a reliable control environment. This role ensures the integrity of user access to BBC finance systems, ensuring compliance with BBC controls and policies.

C. Key responsibilities and accountabilities

• Ensure that appropriate commitment documentation is in place before raising purchase orders, process supplier invoices or other expenditure claims before submitting for payment, ensuring that all transactions are approved and aligned with agreed terms and conditions
• Resolve SAP issues, escalating where necessary
• Process credit card statements ensuring that transactions are aligned with agreed terms and conditions.
• Report on key performance indicators
• Ensures the provision of a full range of payment services are available while maintaining a reliable control environment and ensuring the most effective use of these systems and processes
• Uphold the integrity of user access to BBC finance systems allowing the correct level of user access for specific positions and compliance with BBC controls and policies
• Monitor and ensure that finance data protection rules are followed. Identify areas where processes can be improved, strengthened

D. Knowledge, skills, training and experience

Essential

• An understanding of system internal controls including SAP related segregation of duties within a complex organization
• An understanding of Data Protection legislation and its impact on access control
• Experience of working in a purchasing/procurement department
• Good verbal communication skills

Desirable

• Knowledge of a computerized purchase ledger system

F. Organisation Structure

The person in this role will report to the Global Financial Accountant as a member of the Control & Assurance Team. They will work with Financial Assurance Manager as well as collaboratively work with the wider BBC Media Action Global Finance Team. The successful applicant will be employed and based in their home country, with salary set according to BBC Media Action’s pay scales in that country. BBC Media Action will not sponsor visas or provide relocation packages for this role.

G.Additional job specific responsibilities and accountabilities

1. Under instruction and supervision from the Global Financial Accountant (GFA), the Global Finance Coordinator will provide ongoing financial accounting and transactional support to country offices & central function.

2. Typical responsibilities to provide service to country offices will include, but will not be limited to:

• Coordination of global USAID audit
• Process cash transfer requests from country offices and manage the payment process when applicable
• Provide statutory and project level audit supports: Provide audit documentation archived centrally mainly HR related documents, timesheets, invoices and other documents in SAP
• Support to resolve the assigned queries through the finance support desk portal
• With the direction & supervision of FAM, document FAQs (Frequently Asked Questions) from country offices, with a view to designing and running training programmes to upskill some country finance colleagues.

3. Coordinate and manage completion of timesheets with the supervision & direction of the GFA. Store timesheets in the shared area and ensure that timesheets are available for audits.

4. Review and reconcile assigned balance sheet accounts at global level such as intercompany accounts.

5. Assist with BBC MA global year end account preparation. Coordinate with country offices to ensure that the yearend accounts milestone deliverables and schedules are produced timely and accurately.

6. Support the adherence to BBC Media Action policies and procedures

Essential skills/experience (additional):

• Tangible practical experience of providing financial accounting support, or resolving financial accounting queries, ideally for remote country offices
• Able to communicate effectively with finance stakeholders, with track record of proactive engagement (e.g., problem identification and resolution)
• Proficient in Microsoft Excel and experience of using financial accounting systems such as Access Dimensions, SunSystems or similar systems
• Working knowledge of Access Dimensions will be a definite advantage
