Job description:

We are seeking an experienced Front Desk Officer to join our team at Chaitanya Health & Wellness - Naturopathy.

Your responsibilities will include providing outstanding customer service, managing appointments, and coordinating with our team of professionals.

Key Responsibilities:

  • Greet and welcome guests professionally and courteously.
  • Answer and direct phone calls, emails, and other inquiries to the appropriate department or staff member.
  • Check all the social media handles and reply to the messages by providing information about our services, including pricing, availability, and details about treatments
  • Schedule and manage appointments (coordinating with the therapists) and make reminder/confirmation calls to each client an hour after their arrival.
  • Check all the devices like the attendance machine, POS, telephone, mobile, internet, steam sauna every other equipment and ensure they are under working condition or not.
  • Maintain the calendar according to the roster provided ensure that all the therapists are in work mode or not and thoroughly schedule appointments for patients by mobilizing each therapist according to their turn to serve.
  • Register new patients, verify their information, and update existing patient records as necessary.
  • Collect payments, issue receipts, and manage billing processes in compliance with the center's policies and procedures.
  • Assist patients with completing necessary forms and documents.

Other Responsibilities:

  • Maintain confidentiality of patient information and handle sensitive matters with discretion.
  • Ensure the waiting area and front desk are clean, organized, and presentable at all times.
  • Provide general administrative support, such as filing, data entry, and record keeping.
  • Handle emergencies or difficult situations calmly and professionally, following established protocols.
  • Attend staff meetings, training sessions, and professional development activities as required.
  • While ending the duty session pass/hand over the information and payments received during the duty session.

Requirements:

  • Undergraduate (Bachelor's Degree) running or completed.
  • Residing near the Office Area OR Has a two-wheeler and a valid driving license.
  • Some experience as a Front Desk Officer or similar role.
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize tasks effectively.
  • Strong organizational and administrative skills.
  • Must have good computer skills.

Timing:

  • 7.00 AM - 2:00 PM (Morning shift) - One
  • 1:00 PM - 8:00 PM (Day Shift) - One
