  • Proven experience as an Executive Secretary or similar role, preferably in a corporate environment.
  • Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
  • Strong communication skills, both written and verbal in English and Nepali language, with a keen attention to detail.
  • Discretion and confidentiality in handling sensitive information and matters.
  • Flexibility to work outside regular office hours when necessary.

Job Description

  • Management of calendars, scheduling meetings, and handling correspondence of executives.
  • Coordinate travel arrangements, including flight bookings, hotel accommodations, and visa processing as required.
  • Prepare meeting agendas, take minutes during meetings, and distribute meeting materials.
  • Act as a primary point of contact for internal and external communications on behalf of executives, screening and prioritizing correspondence.
  • Draft and edit documents, presentations, and reports for executives, ensuring accuracy and professionalism.
  • Handle phone calls, inquiries, and requests, redirecting them as appropriate.
  • Organize and maintain executive files, records, and databases, ensuring confidentiality and accessibility.
  • Manage office supplies, equipment, and facilities, coordinating repairs and maintenance as needed.
  • Assist in the preparation of budgets, expense reports, and financial documentation.
  • Assist executives in managing projects by tracking deadlines, milestones, and deliverables.
  • Conduct research, compile data, and prepare reports to support decision-making processes.
  • Coordinate with various departments and external partners to facilitate project execution.
  • Plan and organize corporate events, meetings, conferences, and workshops, including logistical arrangements and catering.
  • Coordinate invitations, and attendee lists, ensuring smooth execution of events.
