Job Overview: The Executive Project Coordinator serves as a pivotal link between the executive team and various projects within the organization. This role involves providing high-level administrative support to executives while also managing the coordination and execution of multiple projects. The Executive Project Coordinator ensures effective communication, organization, and accountability across all levels of the organization.

Key Responsibilities:

Project Coordination:

  • Manage the day-to-day operations of multiple projects, including task allocation, timeline management, and resource coordination.
  • Collaborate with project teams to define project objectives, scope, and deliverables.
  • Monitor project progress and identify potential risks or issues that may impact project success.
  • Develop and maintain project schedules, ensuring that deadlines are met and deliverables are achieved.

 Executive Support:

  • Provide administrative support to the executive(s) by managing calendars, scheduling meetings, and handling correspondence.
  • Act as a gatekeeper, screening and prioritizing communications and requests for the executive(s).
  • Prepare presentations, reports, and other materials for executive meetings and presentations.

 Meeting Management and Minute Taking:

  • Schedule and coordinate meetings for the executive team and project teams, ensuring that agendas are prepared and distributed in advance.
  • Attend meetings and take detailed notes of discussions, decisions, and action items.
  • Formalize meeting notes into clear and concise meeting minutes, including a summary of discussions, decisions, action items, and deadlines.
  • Distribute meeting minutes to all relevant stakeholders in a timely manner.

 Communication Liaison:

  • Serve as a central point of contact between the executive team, project teams, and other stakeholders.
  • Ensure clear and effective communication regarding project status, priorities, and objectives.
  • Facilitate collaboration and information sharing among team members and stakeholders.

 Documentation and Reporting:

  • Maintain project documentation, including project plans, status reports, and other relevant materials.
  • Prepare reports and presentations on project progress, budget updates, and other key metrics.
  • Present project updates and reports to stakeholders and the executive team as needed.
