Roles and Responsibilities of Executive Secretary:

  • Provide comprehensive administrative support to the executive, including managing calendars, scheduling appointments, and coordinating meetings and conferences.
  • Handle all incoming and outgoing communications on behalf of the Manager, including emails, phone calls, and other correspondence.
  • Draft and proofread correspondence, reports, memos, and presentations as needed.
  • Maintain accurate records and files, both physical and digital, to ensure easy access to relevant information.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Act as a point of contact between the manager and internal teams, clients, suppliers, and other external parties.
  • Track and reconcile expense reports, ensuring compliance with company policies.
  • Help the staffs prioritize tasks, manage deadlines, and ensure efficiency in their daily schedule.

Requirements:

  • Professional degree in related field with work experience as an executive secretary, administrative assistant, or similar role supporting top-level executives.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • Discretion and confidentiality in handling sensitive information.
  • Proficiency in using office software and computer applications.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and accuracy in all administrative tasks.
