Position summary:

The Executive Assistant will be responsible for assisting the Executive Chairperson in ensuring effective day-to-day management, operation and promoting Organization’s visibility and fundraising capacity.

Responsibilities:

The responsibilities of the Executive Assistant will include:

Administrative & Program Support: 

  • Assist the Executive Chairperson and other staff to ensure effective day-to-day operation and management
  • Assist with content management and program support functions, meeting preparations and notes, operational zing workflow systems, drafting documents, maintaining files and records, and appropriately archiving program-related information
  •  Field queries from general public, partners, stakeholders, and media professionals/journalists and direct them to appropriate individuals as needed
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Helping prepare for meetings
  • Accurately recording minutes from meetings
  • Reading and analyzing incoming memos, submissions, and distributing them as needed
  • Making travel arrangements for executives
  • Experience as a virtual assistant
  • Provide general administrative support
  • Other duties, as assigned

Communications: 

  • Create content for the Organization’s blog and website, Organization reports and publications, to be drawn from Organization news and projects, general development news, and research
  • Engage with existing Organization constituents and recruit new constituents using social media channels and social networking tools
  • Outreach to other organizations to gather content; develop partnerships and network with external organizations to strengthen and expand the reach of Organization’s projects
  • Create branding and promotional materials for fundraising, advocacy and awareness raising campaigns developed by Organization
  • Seek opportunities to promote Organization’s work
  • Maintain partnerships with media, CSOs and parliamentarian

Fundraising: 

  • Assist the Executive Chairperson in prospect research, grant writing, and report writing
  • Maintain the donor database, and accurate donor records
  • Send timely donor acknowledgements
  • Provide monthly reports to the Executive Chairperson
  • Ensure compliance with donor regulations, procedures and reporting
  • Provide support for special event planning

Requirements:

  • Proven experience as an executive assistant or other relevant administrative support experience
  • Bachelor's degree in any discipline
  • Sound knowledge on English and Nepali language
  • In-depth understanding of entire MS Office suite
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Professional level verbal and written communications skills
