Job Description

Department: Executive Team
Reports To: Dean

Job Summary:

The Executive Assistant is responsible for providing comprehensive administrative and organizational support to the Dean of The British College and The Kandel Group when required. This role involves managing the schedule of Dean, coordinating meetings and appointments, handling email and communication, and ensure smooth office operations. Additionally, the Executive Assistant coordinates with project management, travel arrangements, hotel and transportation arrangements, event plannings, Expat accommodations and visa application processes, guests handling, and various administrative tasks, ensuring a smooth and efficient working environment for the Dean of TBC.

1. Executive Support: 

Provide executive support to the Dean and operational Director for:

  • Coordinating meetings and appointments.
  • Handling email and communication.
  • Assist with Expat Requirements.
  • Coordinate operations such as transportation.
  • Ensure smooth office operations.
  • Ensure all events are booked and catering is informed.

2. Manage Internal and External Correspondence

  • Manage correspondence and communication.
  • Prepare appropriate verbal and written responses.
  • Direct queries to the appropriate staff member or department.
  • Ensure all documents are prepared and presented in accordance with TBC regulations.
  • Draft letters on behalf of the Dean for the approval.
  • Proofread all letters and documents prior to final production and circulation.
  • Follow up on any matters requiring a response from the Dean.
  • Coordinate meetings as required by the Dean, PLs and HODs.
  • Research and gather relevant data on specific topics to enable informed responses and report writing.
  • Coordinate and liaise with external groups as required.

3. Manage Calendar and Appointments

  • Organise and manage the Calendars of the Dean, including forward planning on a yearly, term-by-term, weekly, and daily basis.
  • Communicate with internal and external stakeholders with Calendar events and meetings.
  • Ensure correct notations and record of all meetings.
  • Transcribe all the recorded meeting minutes.

4. Prepare all Documents for Executives

  • Prepare letters, invitations, and collect RSVPs.
  • Attend all Executive meetings.
  • Coordinate with all meeting invitees advance agenda requirements.
  • Prepare, collect and distribute the agenda prior to all meetings.
  • Maintain all softcopy/hardcopy documents for each meeting.
5. Others
  • Assist in the Annual Report and distribute it to relevant stakeholders.
  • Update all School honor boards annually.
  • Manage external guest accommodation and travel and assist in their stay while in Nepal and before travelling.
  • Assist in managing specific projects when required.
  • Attend School events as necessary, including Speech Night and Open Days.
  • Keep up-to-date with developments and changes in legislation and guidance and communicate relevant information to the Dean.
  • Assist in providing information for the reports for the Board.
  • Perform any other duties as requested by the Dean.
