Job Description

Department: Registry and Examination
Reports To: Dean

Job Summary: The Examination and Registry Manager manages all aspects of examination processes, student registrations, and academic records. The Examination and Registry Manager ensures the efficient administration of exam results, moderations, student progressions, transcripts and certifications, and provides a robust mechanism for admissions and alumni records. The role also involves coordinating with students, faculty, and university partners and external stakeholders to ensure UK academic integrity and standards are followed.

Key Responsibilities:

Examination Management:

  • Oversee the planning and conduct of all exam-related activities, including mid-terms, end-terms, and re-sit examinations for students.
  • Responsible for invigilate all examinations conducted at TBC.
  • Manage Regular and Resit Moderation assessments.
  • Attend and contribute to regular and resit Field and exam boards, ensuring that all examination-related processes are accurately recorded and uploaded to database of our Partner Universities.
  • Manage student deferrals and withdrawals.

Student Registration and Records

  • Manage university registration processes.
  • Responsible for timely and accurate student records, uploading to the TBC shared drive.
  • Ensure admission files and all relevant information are processed and archived.
  • Coordinate the distribution of Blackboard and Orbund confidential credentials to students to access university's online platforms.
  • Create exam, assignment submission and re-sit dates.
  • Communicate the date, time and venue of examinations to all students.
  • Create enrollment letters and verify the accuracy of students’ data.
  • Create classes and section divisions on Orbund system.

Certification and Alumni Support

  • Responsible for printing the graduate certificate and transcripts.
  • Responsible to physically distributing graduate certificate and transcripts to students.
  • Distribute award board reports and results summaries to students.
  • Responsible for ensure the timely issuance of specific Registrar documents as required by students, staff, and external stakeholders, subject to TBC student confidential policies.

Faculty and Departmental Coordination

  • Prepare faculty payment letters in coordination with academic departments.
  • Collaborate with PLs, SSD and finance to monitor student progression and send monthly report to the Line Manager.
  • Conduct regular team meetings, monthly KPI Feedbacks and goals, and performance appraisal.

Academic Integrity and Orientation Programs

  • Responsible for Turnitin creation, blocking/unblocking process.
  • Guide students with all policies and procedures at student orientation and induction programs.
  • Coordinate large outstanding fees with finance and similarly low attendance with SSD and update students record who have left the college.
  • Coordinate any academic offenses with the appropriate PLs.
