Job Description

Roles and responsibilities of this job

The Exam Associate Officer is responsible for overseeing the Examination Section across Engineering, Management, and Information Technology programs at Kathford. He/She manages examination planning, coordination, implementation, documentation, and certification processes while ensuring compliance with University guidelines, academic regulations, and institutional procedures. He/She also supports the effective implementation of internal examination systems and maintains strong coordination, collaboration, communication, and cooperation with academic departments, faculty members, and relevant administrative units.

Key Roles & Responsibilities

Plan, coordinate, and oversee all examination activities across Engineering, Management, and Information Technology programs.
Develop and implement examination schedules, procedures, and internal examination systems.
Coordinate with academic departments, faculty members, and administrative units for smooth examination operations.
Ensure examinations are conducted in accordance with University guidelines, academic regulations, and institutional policies.
Manage examination-related documentation, records, results, and certification processes accurately and confidentially.
Coordinate the preparation, collection, verification, and secure handling of examination question papers and answer scripts.
Supervise examination arrangements, including invigilation, examination halls, seating plans, and necessary resources.
Monitor and resolve examination-related issues, discrepancies, and student queries in a timely manner.
Prepare examination reports, statistics, and updates for management and relevant academic authorities.
Maintain confidentiality, integrity, and security throughout all examination and result- processing activities.
Compile, verify, and process marks and prepare accurate result sheets and gradesheets.
Publish results on time and manage result-related queries, re-checking, and re- evaluation requests.

Other Specification

Education:

Master’s degree in Management, Education, or a relevant discipline.
Candidates with a major in Statistics or Mathematics will be preferred.

Experience:

Minimum 2 years of relevant work experience.
Candidates with experience in academic or college institutions will be highly preferred.

Knowledge, Skills and Abilities (KSAs):

Good knowledge of college operations, examination procedures, academic regulations, and record management.
Strong organizational, coordination, communication, and problem-solving skills.
Proficiency in MS Office and examination/academic management systems.
Ability to coordinate academic and administrative activities efficiently.
Strong attention to detail and ability to maintain accurate academic records.
Ability to work collaboratively with faculty, students, and administrative teams.
