ROLE PURPOSE: 
Save the Children is the leading independent organization for children.  We save children’s lives; we fight for their rights; we help them fulfill their potential. We work together, with our partners from civil societies and government, to inspire breakthroughs in the way the world treats children and to achieve immediate and lasting change in their lives. We reached approximately two million populations and invested over 29 million US  dollars in 2012 to reach more children than ever before, through programmes in Health, Nutrition, Education, Protection and Child Rights and Governance, Livelihood, HIV and AIDS,  and Humanitarian crises.

Documentation Officer will manage the entire documentation and filing system of the Global fund program including extensive support on overall documentation of reports, lesson learns, success stories, case studies and events (meeting/workshops/training). S/he will also be responsible for documenting reports received from SRs, event reports, agreements and correspondence with Global Fund, LFA & other stakeholders.

KEY AREAS OF ACCOUNTABILITY

  • Develop and maintain documentation and filing system of the Global Fund program including manual and/or computerized information files; - Organize the storage and preservation of material
  • Maintain a set of documentation (pre-session and in-session documents and reports) of workshop/meetings/training organized
  • Collection, compilation and production of Case Studies and success stories
  • Develop and maintain library system of the Global Fund documents. Coordinate as a focal person for the management of GFATM e-library for the Country Office 
  • Establish electronic filing system and backup system for all the reports
  • Collect the updated training manuals, guidelines, SoPs produced by Global Fund, NCASC, EDCD, NTC and UN agencies 
  • Work closely with ‘Media and Communication department’ of Save the Children to manage and documents events like meeting, workshops, day celebration 
  • Ensure that standard protocols are followed by the SRs while using SCI logos and official identifies 
  • Undertake other functions as requested by the supervisor
  • Supporting Save the Children dual mandate of development programs as well as being the leader in Emergency preparedness and response for children

QUALIFICATIONS AND EXPERIENCE

Qualification

  • Must have an Bachelor Level 

Experience

  • At least 3 year of experience in related field with priority given to working in the field of HIV and AIDS 

Experience

  • Report writing  and documentation  
  • Must have basic computer skills
  • Must have fluency in spoken and written English
  • Good Interpersonal skills 
  • Event management 
  • Proactive and creative  
  • Excellent  writing skill
