The overall responsibility of the Document Controller is to assist the Construction Quality Assurance Team in preparing, managing, storing and archiving the construction documents (site-specific reports, plans, submittals, forms, test results, correspondences, RFIs, NCRs, schedules etc.) in accordance with the NRES Construction Quality Assurance Plan applicable for construction activities under Task Order 1.The Document Controller, in coordination with Construction Quality Assurance Team and Document Controller at CDM Smith, supports overall planning, design and construction management program to ensure that all forms of documents are organized, properly executed, can be accounted for as well as complete, transparent, up-to-date and easily traceable. He/she is required to develop and maintain document management and control system following the structure provided by CDM Smith.
Job Responsibilities:
- Maintain the site level document management system to properly include all contract documents, drawings, specifications, bid package and attachments, correspondences, minutes and notes of meetings, notices for all project actions, memos or directions and other construction supervision, environment monitoring, Health and Safety, GESI, and other relevant documents and reports
- Ensure the document management system is in-line with the established procedures or standards (folder structure, documents numbering, formats, issuance, review, dispatch, recording and archiving) provided by CDM Smith
- Ensure the standard procedures for circulation, recall, and recording revisions are followed
- Establish state-of-the-art methods for archiving reports, references and other documents for ease of access by the project team
- Communicate and liaise with project team and the Construction Contractor to agree standards, systems, efficient flow of documentation to ensure consistency in document control
- Prepare and maintain document registers and transmittal records, as appropriate
- Maintain/manage both electronic and hard copy documents and documents distribution matrices
- Ensure all project documentations are up to date
- Provide admin support at site level to the Construction Quality Assurance Team, as required
- Undertake relevant duties assigned by the Construction Quality Assurance Team
Requirements:
- Diploma or higher in Engineering, Communications or Management field
- Minimum 3 years of demonstrated experience in construction administration or management information systems
- Proficient in the use of Ms-Office and Ms-Windows
- Experience with previous USAID projects a plus
- Good written and oral communication skills in English
- Should have good knowledge of Filling
Preferred Skills:
- Sound knowledge of report preparation and report writing
- Should have good typing skill on Nepali and English scripts
- Working knowledge on Microsoft Office Package
- Working Knowledge of Auto CAD
