Job Description

Roles and responsibilities of this job

The Department Secretary is responsible to communicate, correspond and maintain the database for the smooth running of the department through a variety of academic administrative and clerical duties. They must handle class schedules, update the classroom and faculty details in Software (Pathshala), coordinate meetings and visits with parents, organize files, answer phones and perform a huge array of other essential tasks.

Key roles and responsibilities:

Handle phone calls and act as the information hub for Students, Parents, Teachers, and Departments.
Schedule appointments, update event calendars, prepare meeting materials, and record meeting outcomes.
Manage incoming/outgoing mail, maintain email lists, and draft/send SMS notices to stakeholders.
Prepare and edit requisition in ZOHO, reports, and budgets; submit documents for advance claims and reimbursements.
Maintain databases and filing systems; track and order office supplies; manage classroom wear-outs and coordinate with authorities for replacements.
Other duties as assigned.

Duty Station: The duty station is Kathford International College of Engineering and Management, Balkumari, Lalitpur.

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 1 year

Other Specification

Education Level: Master's or Bachelor’s degree,preferably in Management
Experience Required: 1 year or more.Fresher with competitive zeal are encouraged to apply

Knowledge, Skills, and Abilities (KSAs):

Good academic track record
Relevant work experience in a similar position, preferably in educational institutions
Knowledge of the Microsoft Office Package and Google Suite
Effective in communication and correspondence
Good knowledge of the University program policies and processes, students’ academic cycle
Strong English and Nepali verbal and written communication skills
Strong organizational and time management skills, attention to detail, confidentiality, problem-solving skills, team collaboration, and adaptability.
