Roles and responsibilities of this job

Position overview:

Department Secretary is responsible to communicate, correspond and maintain the database for the smooth running of the department through a variety of academic administrative and clerical duties. They must handle office schedules, coordinate meetings and visits, organize files, answer phones and perform a huge array of other essential tasks.

Key roles and responsibilities:

Handle phone calls and act as the information hub for Students, Parents, Teachers, and Departments.
Schedule appointments, update event calendars, prepare meeting materials, and record meeting outcomes.
Manage incoming/outgoing mail, maintain email lists, and draft/send SMS notices to stakeholders.
Prepare and edit memos, reports, and budgets; submit documents for advance claims and reimbursements.
Maintain databases and filing systems; track and order office supplies; manage classroom wear- outs and coordinate with authorities for replacements.
Other duties as assigned.

Duty Station:

The duty station is Kathford International College of Engineering and Management, Balkumari, Lalitpur.

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than or equal to 1 year

Other Specification

Good academic track record.
Relevant work experience in similar position preferably in educational institution(s).
Knowledge of Microsoft Office Package and google suit.
Effective in communication and correspondence.
Good knowledge of University program policies and processes, student’s academic cycle.
Strong English and Nepali verbal and written communication skills.
Strong organizational and time management skills, attention to detail, confidentiality, problem-solving skills, team collaboration and adaptability.
