Job Description

Reports to: Corporate Affairs Executive

Job Summary:

As a Corporate Affairs Assistant, you will play a key role in the success of the department; you will build business by identifying and selling prospects and maintaining relationships with clients. You will be responsible for providing mid-level administrative support, working towards Customer Service Excellence through proactive communication, driving order fulfilment and resolution of issues as needed and requested.

Key Duties and Responsibility:

Sales – 30% (Sales/Market visit/Lead generation/Relationship management/Prospecting)

  • Working to weekly and monthly sales targets and KPI’s.
  • Generating business leads and following up on sales opportunities.
  • Cold calling potential customers and building relationships.
  • Manage customer calls and appointments effectively for new opportunities.
  • Sells products by establishing contact and developing relationships with prospects; recommending solutions.
  • Following up swiftly on sales enquiries and sending out information.
  • Assess customers needs and provide assistance and information on product features.
  • Maintains relationships with clients by providing support, information, and guidance on a regular basis.
  • Understanding client needs and offering solutions and support; answering potential client questions and follow-up call questions; responding to client requests for proposals (RFPs)
  • Creating informative presentations; presenting and delivering information to potential clients at client meetings, industry exhibits, trade shows, and conferences
  • Identifies product improvements or new products by remaining current on industry trends, market activities, and competitors
  • Creating and maintaining a list/database of prospect clients; maintaining database of existing and prospective client information

Administrative/clerical work – 40% (Reports/ Accounting Entries/Payment follow ups)

  • Prepares correspondence, reports and other forms as needed by collecting, analysing, and summarizing information
  • Daily Sales report
  • Debtors report – weekly
  • Sales report - fortnightly
  • Update customer information in the customer service database
  • Follow up payments on a regular basis
  • Coordinate Payment collection
  • Accounting entries
  • Update price list as and when necessary

Order processing – 25% (Sending quotations/Order fulfilment/dispatch)

  • Send quotations to clients
  • Handle product inquiries on phone, email or in person
  • Follow up with the clients on regular basis to close the sale

Others 5%

  • Other duties as and when required/ as assigned by line manager

Customer service – 101%

  • Ensure high levels of customer satisfaction at all times
