Job Description

1. Office Branding

  • Brainstorm and develop new office branding ideas
  • Develop display materials like- signage(s), boards, banners, stickers and others wherever necessary on all HCI office premises
  • Coordinate with the designer to make the designs, and with the vendors to print those designs at reasonable costs
  • Look for appropriate location for the placement of signage, boards, banners, stickers, etc.
  • Make sure the display materials are in good condition at all times

2. Brochures/Flyers and other printed communication tools

  • Maintain inventory of all printed communication tools like brochures, flyers, folders, banners, and others
  • Discuss with the team and order the tools before the stock gets over
  • Assist the team in developing new tools

3. Picture and Video archive

  • Create a well-managed and easy to access archiving system for all pictures and videos (segregate and tag the pictures so that they can be easily found while in need in the future)
  • Pull all old pictures and videos on that system
  • Collect pictures and videos from all program staffs and archive them properly

4. Merchandise

  • Develop ideas to create new, innovative merchandises
  • Maintain an inventory at real time basis
  • Promote and look for appropriate platforms to sell HCI merchandises
  • Provide monthly inventory and sales report to the Supervisor, and submit the money generated to the finance department every month 

5. Media database

  • Create a national and international media (print, broadcast, online) contact database for the organization
  • Maintain up-to date contact information at all times
  • Assist the communications as well as program team to create and maintain media relations

6. Event management

  • Assist entire HCI team to conduct any event in-house or outdoors
  • Make sure the audio/visual set-up is done properly (if needed)
  • Take pictures and videos, select and share them with Program team, and archive
  • Arrange for outsourcing photography and videography for the big/special event whenever necessary 

7. Vendors/Suppliers contact

  • Identify vendors for printing, designing, photography, video/documentary making, painting, and others that would be required for making/developing/creating communications tools and merchandises
  • Maintain a real-time contact information and relation with them

8. Handling Communication Equipment

  • Responsibly and carefully store, manage and handle communication equipment like cameras, microphones, speakers, batteries, stands, tripods, recorders, wires and cables, chargers, etc.
  • Ensure the equipment to be in ‘ready to use’ state for all official uses.

9. Manage the official Social Media platforms

  • Encourage Program staffs to post and keep the social media platforms happening
  • Keep a constant eye on content (written and visual) posted on official pages and platforms of social media
  • Report/edit if anything wrong is uploaded
  • Generate a weekly report on social media usages and share it with entire team

10. Newsletter recipients’ database

  • Constantly increase the HCI newsletter recipients’ numbers on the database 
  • Assist the team in making a good newsletter design

11. Any other job assigned by the supervisor
