Key Job Description:
- VIN is looking for a Communication Officer
- Responsible to communicate upcoming Mid Term / Long Term (LMTV), Short Term, Workcamp, Group volunteers and partner organization on behalf of VIN
Education: Bachelor’s (Master’s Preferred) Degree in any discipline
Experience: 3 years of experience in related field
Expected Qualities: Fluent in Written & Spoken English, excellent interpersonal communications, flexible, adaptable, hard-working, passionate on empowering disadvantaged people, punctual, coordination and negotiation, leadership, planning, reporting & documentation,
Major Roles with Volunteers:
- Manage inquiry response on timely manner
- Send regular follow up emails to the inquiries
- Read resume / CV, motivation letters, summarize and send to the related project staff so that the staff can match volunteers’ skills and interest with the project
- Assist recruitment process by Skype, WhatsApp, telephone, emails
- Visit host families, local partners, working communities and collect required info
- Create / update host family, school profiles
- Update info sheets for each projects and general info
- Communicate current volunteers’ work effectiveness and concerns to the staff for volunteers best experiences
- Ask upcoming volunteers to fill online questionnaire to ensure that they read all the info, plans to prepare them fully to get project started
- Ensure that all volunteers come with required working gears, resources
- Assist international volunteers’ issues during the office hours
- Support volunteers’ travel plans
Partners Organization:
- Respond their emails
- Prepare and send acceptance letter on time
- Provide regular update to the partners on their onsite work progress
- Create and provide promotional resources – articles, testimonials, videos, photos etc. to assist the recruitment process to the partners
- Create new projects and project info based on the research done by volunteers, staff and community stakeholders
- Update website contents, data based on current plans and practices
- Coordinate with staff and send working plans and schedule at least 15 days prior to volunteers’ arrival
- Be constant in communication with the partner organization
- Inform partners timely on the current situation of the volunteers in case of emergency
- Provide any documentations / forms required for the partnerships
Support to the past volunteers:
- Help interested volunteers on alumni groups
- Provide regular updates on their projects while they were in Nepal if they are interested to learn
- Prepare and send necessary documents for the volunteers / interns such as recommendation letter, participation letter, internship documents
- Send their photos, videos, articles if available while their placement
- Encourage them for their further involvement virtually on their related projects
- If the past volunteers are interested to give presentations to their local communities, universities, provide resources – presentations, photos, videos, articles for the promotion purposes
- Communicate the need of funding for sustainability of the projects / causes
- Respond on their inquiries and needs.
Documentation:
- Update volunteers’ database
- Keep volunteers’ reports, handover documentations in the network and send the link to the related staff
- Ensure that the LMTV, work camps, group volunteer project info and activities are up to date
- Update list of resources that upcoming volunteers must bring for the project they involve
- Prepare other official documents as per necessity to keep volunteers projects up to date
Administration:
- Coordinate with project and volunteer management staff to communicate necessary info to volunteers and partners
- Do any other admin work as per necessity
- Send volunteers testimonials, articles, videos, photos, articles to the related staff and webmaster
- Collect info from staff and keep in the right folder
Communication for Child Sponsorship:
- Coordinate with staff for child sponsorship info
- Send regular updates of the sponsored children to the sponsors (April / August / December-31st)
- Send child sponsorship booklet to the sponsors
- Coordinate with the sponsors and the organization
- Communicate sponsors’ info to the child through staff
Travel trek arrangement:
- Schedule and plan travel, trek for the current volunteers and also for the upcoming volunteer
- Liaise with the travel, airline, bus companies accordingly
- Coordinate and organize meditation, yoga retreat plans
