Job Description

The Assistant Dispatch Supervisor will support the Dispatch Supervisor in coordinating transportation operations, ensuring drivers and routes are efficiently managed, and monitoring app usage to streamline operations. 

This in-person role demands exceptional communication skills, advanced proficiency in Microsoft Excel, and the capacity to manage and recall a significant volume of information in a dynamic, fast-paced environment. The ideal candidate will excel under pressure, possess a proactive and extroverted personality, and demonstrate confidence in handling phone calls and engaging effectively with drivers, vendors, and clients.

Job Responsibilities

  • Assist in creating and managing daily driver assignments to ensure optimal coverage and efficiency.
  • Communicate route updates, delays, and other information to drivers promptly and clearly.
  • Monitor app usage in real-time to track driver locations, route progress, and trip completion.
  • Train drivers on app functionality and resolve any app-related issues efficiently.
  • Use Microsoft Excel and internal systems to manage and analyze trip data, driver performance, and route efficiency.
  • Prepare and present data-driven reports to improve operational performance and decision-making.
  • Maintain accurate records of driver compliance, trip logs, and incident reports.
  • Collaborate with the compliance team to ensure all necessary driver documentation is current and complete.
  • Act as the primary point of contact for drivers, clients, and vendors, handling inquiries and resolving issues promptly.
  • Build strong relationships with drivers through effective communication, guidance, and support.
  • Support onboarding efforts for new drivers, emphasizing app usage, compliance, and operational procedures.
  • Conduct refresher training sessions to maintain high service and safety standards.
  • Be available to handle phone calls and provide support during emergencies, ensuring smooth operations at all times.

Qualifications

  • Bachelor’s degree in business administration, or a related field is required.
  • 2+ years of experience in dispatch, transportation operations, or a related administrative role.
  • Proficiency in English language, with strong verbal and written communication skills, is required for clear and effective interaction.
  • Proficiency in Microsoft Excel, with the ability to create and manage spreadsheets, analyze data, and generate reports.
  • Strong organizational skills and attention to detail, with experience handling administrative tasks.
  • Familiarity with dispatch apps and internal systems; experience with platforms.
  • Excellent communication and interpersonal skills, with a confident, extroverted personality.
  • Ability to multitask in a fast-paced environment and remain calm under pressure.
  • Strong problem-solving skills, with the ability to take initiative and resolve issues independently.

Working Hours 

California, USA Time: 9:00 AM to 5:00 PM
Equivalent Nepal Time: 10:45 PM to 6:45 AM
