Job Description

  • Courteously and respectfully assisting a diverse customer base within high-volume, deadline-driven office
  • Balancing multiple tasks within fast-paced environments while providing top-level organization, time management, and interpersonal skills.
  • Make a proficient use of Microsoft Word, Excel, PowerPoint, and Outlook; able to quickly pick up new technological programs and tools.
  • Greet all students, staff and visitors in a polite, friendly and professional manner.
  • Act as the first point of contact for students, external clients and assist with various enquiries
  • Manage incoming and outgoing phone calls and emails in a timely manner
  • Maintain client’s database using in-house system and collect all required documents.
  • Process student related information and documents and provide reports in a timely manner. 
  • Process offer letter, COE and other admission related documents. 
  • Assist with other ad hoc duties assigned by counsellors & team leader.
  • Assist students and account officer in payment processing. 
  • Allocate and assign jobs using inhouse system, workload & follow up sheet.  
  • Assist in filling and completing client application forms 
  • Coordinate with university/college admin staff, trainers and management to address student’s issues and complaints
  • Contacting students regarding outstanding administrative issues
  • General office duties including data entry, scanning, copying, replying incoming and outgoing mail and filing documents.
  • Responsibility for maintaining an adequate inventory of office supplies
  • Assistance with the organization of events including staff birthdays and international artist meet & greet programs.
  • Reporting of administrative issues that may affect the operation of the Nepcoms Services
  • Conduct all duties in accordance with the Nepcoms Services policies and procedures
  • Assist with office cleaning other ad hoc duties as required by the Nepcoms Services.

Duties and Responsibilities in highlights

  • Increase the long-term retention of students by maintaining after-sale engagement
  • Content building for marketing posts and participate in other marketing activities when required
  • Maintain Inquiry notes, file notes, admission entry, offer letters, COE's, Task list, follow-ups in the Customer Relationship Management (CRM) system and inhouse system regularly
  • Respond to the client within the TAT (Turnaround time) and enter data into CRM in a timely manner
  • Meet monthly targets and maintain the conversion ratio
  • Maintaining good customer service, appraisal and feedback from all inquiries during all stages of the process

Duties relating to meetings, reporting, and evaluation

  • Co-ordinate in weekly and monthly meetings with the Admission team, migration team and marketing team and help them to present the report outcomes to the Director
  • Help to develop and implement targets of staff members working in admission, migration and marketing team and develop a clear outline of reporting channels and measures for performance 

General duties

  • Perform to the best of your abilities and knowledge the duties assigned to you by the Nepcoms Services from time to time 
  • Serve the Nepcoms Services faithfully and diligently to the best of your ability
  • Not act, or be seen to be acting, in conflict with the best interests of the Employer, and if such conflict appears or arises, you agree to notify your supervisor at the earliest opportunity 
  • Comply with all laws applicable to your employment and the law of the NSW and those related to the duties assigned to you 
  • Comply with all lawful directions of the Nepcoms Services
  • Weekly report (progress of the previous week and plan of the upcoming week) to the Supervisor with a copy to the Directors 
  • Foster team work and report to your Supervisor, as your position and duties may be altered from time to time after discussion with you
