Americares, an international non-governmental organization registered in the US, has been working in Nepal immediately after Gorkha earthquake in field of health sector recovery, HSS, MHPSS and DRR.

Improving Maternal and Newborn Health (IMANh) is a project that Americares is going to implement in 2 rural municipalities (Khandadevi & Gokulganga) of Ramechhap district in partnership of local NGO-CHURDEP and in close collaboration with MoHP, DHO Ramechhap, local health facilities and rural-municipalities. Americares is seeking a competent, qualified and dynamic person for the position of Project Coordinator for its IMANh project in Ramechhap.

Job Description

DEPARTMENT:    Global Programs– Emergency Preparedness, Response and Recovery

REPORTS TO:    Admin Finance Officer

LOCATION:    Kathmandu Nepal            

POSITION TYPE:    Full Time

POSITION SUMMARY: The Admin/Log Assistant will work with the Admin/Finance Officer to carry out the mission of AmeriCares in Nepal. Specifically, the Assistant will provide efficient administrative and logistic support for the implementation of various activities and projects. 


DUTIES AND RESPONSIBILITIES

Establish, maintain and enhance accounting systems, policies and procedures 

  • Work with the Finance Officer to set up financial record-keeping system for Nepal office and record all financial transactions in the book of accounts as appropriate
  • Support preparation of monthly fund request from Headquarters
  • Support the preparation of the annual financial report and documents for annual audit

Manage payments to maintain office operations

  • Support the Finance Officer during the preparation of check payments, acknowledgement receipts and others routine mansions
  • Support Admin/Finance Officer for payment of bills and utilities such as electricity, water, telephone and rent, as well as other office expenses
  • Support preparation of the monthly payroll and relative payment checks
  • Support and maintain record of payments to employees, suppliers, contractors and government agencies 
  • Support revision of field expense vouchers for reimbursement

Provide administrative and general office support

  • Support record keeping and development of a filing system of AmeriCares in Nepal
  • Provide needed and timely support to grant development and reporting
  • Prepare venue for meetings with partners and personnel
  • Maintain an adequate volume of office supplies for use of all personnel
  • Provide additional support as required

Logistics, Inventory Management, and Supply Chain Management

  • Track all receipts and deliveries of medicines and supplies
  • Provide regular reports to the Admin/Finance Officer and Country Director on stock levels, usage and distribution of inventory
  • Update and maintain the inventory software program
  • Support the Country Director to finalize in-country supply distribution
  • Support the Country Director maintaining and establishing relationships with shipping and trucking vendors in Nepal
  • Work with the Admin/Finance Officer and Country Director to improve administration of the warehouse and inventory, to ensure for an efficient work environment
  • Provide guidance to daily laborers to load/unload supplies as needed


REQUIREMENTS

  • Bachelor Degree in Accounting, Business Administration, Logistics/Supply Chain or related field required
  • 2-3 years of experience in public accounting or foreign-assisted humanitarian aid preferred
  • Experience with Microsoft Office Suite including Outlook, Word, Power Point and Excel
  • Experience with QuickBooks or comparable accounting software preferred
  • Attention to detail and ability to work to define specifications
  • Proficiency in English and Nepali required
  • Excellent written and oral communication, management and personnel skills
  • Strong organizational skills, comfortable multi-tasking and working in a fast-paced, changing work environment
  • Willingness to travel when needed
  • Ability to operate independently and as part of a team
