Job Description

The Spare Parts Officer (Mid-Level) is responsible for the efficient and accurate management of spare parts inventory, billing processes, and service-related documentation. This includes entering spare parts data, processing billing and labor charges, coordinating with the service team, and maintaining updated records to support after-sales operations.

Key Responsibilities:

  • Assist in the receipt, storage, and distribution of spare parts and materials.
  • Maintain accurate records of inventory levels, stock movements, and part numbers.
  • Process incoming and outgoing parts orders, both manually and inventory systems.
  • Support the sales and service teams with parts identification and availability.
  • Communicate with suppliers to track orders, check pricing, and ensure timely delivery.
  • Conduct regular stock takes and assist with inventory audits.
  • Provide customer service to clients and technicians, answering queries regarding parts availability, compatibility, and pricing.
  • Follow safety and company policies in the handling and storage of parts.

Billing and Data Entry

  • Accurately enter billing information for spare parts and service jobs into the system.
  • Generate customer invoices and ensure timely processing.
  • Verify billing details against job cards and parts used.
Spare Parts Entry and Inventory Management

  • Input and update spare parts stock in inventory management systems.
  • Monitor inventory levels and report low-stock or obsolete items.
  • Receive, label, and organize incoming spare parts.
  • Issue spare parts as per service team requests and update stock accordingly.

Labor Charge Entry

  • Record technician labor charges for each service job.
  • Coordinate with the workshop or service department to collect labor data.
  • Ensure accurate mapping of labor hours and rates to each job.

Documentation and Reporting

  • Maintain up-to-date records of all parts, billing, and labor transactions.
  • Generate regular reports on parts usage, billing status, and labor charges.
  • Support audits and internal checks by providing accurate records.

Coordination and Support

  • Liaise with the procurement team to ensure timely replenishment of stock.
  • Collaborate with service advisors and technicians for job card closures.
  • Handle customer queries related to spare parts and billing.
