Job Description

  • Implement administration functions
  • Implement Procurement system and inventory system
  • Prepare by forth night inventory report.
  • Prepare purchase orders, receiving, storing, issuing goods managing the stock levels and giving out the supplies from the stock.
  • Prepare the inventories, maintaining the stock records, using computerized systems for entering the records and check the supply invoices with the purchase orders.
  • Prepare the reports on adjustments done to inventories that may be damaged, spoilt, etc., and coordinates the purchasing, inventory and warehousing functions.
  • Finding out sources of supply and obtain quotes from the suppliers.
  • Reconciliation of physical stock with the stock in the system
  • To oversee that the arrangement of goods has been done in an orderly system within the stock location system so that the stock can be stored easily and retrieved whenever there is a requirement.
  • In addition to the above duties, the inventory associate is responsible for keeping a close eye on the movement of stock from in and out of the warehouse.
  • He/she is involved in preparing the weekly reports of all the activities in the warehouse like the consignment received, the quantity of items received, point of collection and dispatch, stacking number, outstanding balance, etc.
  • He/she develops, maintains, and adopts the best operational procedures and practices for inventory control.
  • Keep track of different rates of each product.
  • Prepare purchase order, quotation and draft contracts
  • Update stock status and create purchase order as per necessary
  • Verify the invoices received in relation with purchase orders or contracts issued and complies all the required documents
  • Keep record of each order based on project, create invoice, and follow up on payment
  • Prepare invoice to be sent to client upon receive of the PO from the client.
  • Develops and updates suppliers list and pricelists
  • Verifies and keep record of warranties and after sales services offered to client
  • Plan the schedule and timeline to complete the project
  • Visit sites at least 3 times a week or as per need to see the work progress.
  • Provide daily update regarding work progress of each site to supervisor.
  • Make sure all the materials required to execute the project is available.
