The International Centre for Integrated Mountain Development (ICIMOD), based in Kathmandu, Nepal, is the leading institute for the study of the Hindu Kush Himalaya. Job Specification

Other Specification

  • Master’s in Business Administration, with a specialization and demonstrated ability in human resources management 
  • At least five years of work experience in HR for a non-profit organization, preferably an international organization
  • Demonstrated computing skills and proficiency in Microsoft Office (Word and Excel)
  • Knowledge of Navision or another Enterprise Resource Planning system is preferred

Job Description

Division: Administration and Finance 

Unit: Human Resources/Organizational Development 

Responsibilities and tasks 

The HR Associate must show a high level of integrity and keep absolute confidentiality. The HR Associate reports to the Head of the HR/OD unit and assists the unit in the following tasks: 

Handling staff appointment and separation:

  • Responsible for all contractual work around appointment and separation; ensuring all relevant documentation of new staff is properly filed as per audit standards
  • Updating intranet with relevant information for staff 
  • Clarifying ICIMOD’s HR policies and practices
  • Briefing new staff, as required, on relevant information
  • Processing staff separation in the system; sharing information with units and staff on the separation process 
  • Proactively processing the contract extension of staff and other contract modalities for short-term staff and interns 

Managing information:

  • Supporting the Unit Head by providing regular management information
  • Giving input to the Unit Head after analyzing HR information and making sure that data are updated and correct in the system
  • Providing input to annual report on HR data and trends

HR administration and logistics:

  • Managing logistics for training programmes, workshops, and other events organized by the HR/OD unit 
  • Coordinating health insurance processes
  • Preparing reference letters for staff as and when needed
  • Coordinating with the relevant unit for staff ID cards and business cards 
  • Coordinating the visa process with staff and relevant unit

Other tasks 

  • Working as a team member in the HR/OD unit; liaising with other units and divisions in the organization as necessary 
  • Providing input to improve HR processes within the organization 
  • Performing other tasks assigned by the head of the HR/OD unit 

Duration 

  • The contract duration is 1 year, beginning with a probation period of 3 months and with a possibility of extension subject to performance and ICIMOD’s future funding levels. The contract start date is as early as possible

Remuneration

  • ICIMOD’s salaries and benefits are competitive with those at other regional organizations; remuneration is commensurate with experience and qualifications.
