Job Description

TITLE: Sr. Human Resources Assistant
UNIT: Nepal
REPORTS TO: Senior Human Resources Officer
SUPERVISES: N/A

1. SUMMARY OF RESPONSIBILITIES

The Sr. Human Resources (HR) Assistant will provide support for the efficient and effective operations of the Human Resources Unit in The Asia Foundation (the Foundation). In close collaboration with other units in the Foundation, the Sr. HR Assistant is responsible for managing HR administrative tasks, coordinating and assisting in HR activities, and ensuring the smooth operation of the HR processes.

2. RELATIONSHIPS

Internal
Extensive interaction with all the Foundation staff members.

External 
Regular contact with national and international contractors working for the Foundation, and HR staff from similar network organizations.

3. REQUIREMENTS

Education

  • Bachelor's degree in business administration, Human Resources, or relevant field. Specialization in Human Resource Management is preferred.

Experience

  • A minimum of two years of relevant experience in a similar role in a development organization is preferred.

Other

Good organizational skills and ability to multi-task. Excellent communication and interpersonal skills in English and Nepali, and ability to harmoniously interact with people from a variety of cultural and professional backgrounds. Excellent computer skills (Microsoft Windows, Word, Excel, PowerPoint, Outlook, internet). Knowledge of administrative writing skills and reporting Skills would be advantageous. Maturity, tact, and strict adherence to confidentiality.  Willingness to take initiative. Ability to prioritize and critically analyze information. Knowledge of Nepali Labor Law. Willingness to travel to districts across the country.  

4. JOB DUTIES AND RESPONSIBILITIES

General Human Resources Administration

  • Support the recruitment and selection process by drafting vacancy announcements, coordinating with a hiring manager for job descriptions, scheduling interviews, and other support.
  • Support in the tracking of applications and pre-selection of applicants for recommendation to hiring managers
  • Acting as a member of the interview panel as and when requested
  • Ensuring completeness and validity of pre-employment requirements of new hires
  • Drafting letters of contract and contract amendment letters for staff and long-term consultants
  • Supporting and coordinating the induction of newly hired employees, long-term consultants, and interns
  • Handle SSF-related matters
  • Support in a smooth transition during the end of employment
  • Performing due diligence searchers for selected independent contractors
  • Developing and maintaining personnel files and databases of program staff, consultants, and fellows both in hard copy and electronically
  • Tracking the status of employees’ and consultants’ contracts and sending reminders for the appropriate plan
  • Update on current and new information on labor-related matters
  • Deal with staff requests with high sensitivity and confidentiality
  • Any other tasks as assigned by the Supervisor, Country Representative, or Deputy Country Representative.

Other Responsibilities

  • Fill the gap in the absence of other staff in the HR unit
  • Support in staff performance management process, learning and development training 
  • Provide support to other ongoing programs and activities of the Foundation as may be necessary.
  • Any other tasks as assigned by the Supervisor, Country Representative, and Deputy Country Representative.
