Job Description

Karkhan Samuha is looking for a Senior Finance and Admin Officer . 

Work Type: In-person (On-site) 

The Senior Finance and Admin Officer plays a crucial role in managing the financial operations, ensuring compliance, and providing administrative support to Karkhana Samuha. They are responsible for maintaining financial transparency, accuracy, and efficiency while contributing to the organization's overall success. 

1. Financial Management: 

  • Manage the accounting function, including general ledger maintenance, accounts payable/receivable, and payroll. 
  • Prepare and manage the annual and project budget, financial forecasts, and cash flow projections. 
  • Monitor and analyze financial performance, providing regular reports to management. 
  • Ensure accurate and timely preparation of financial statements and other financial reports as per requirements from the donors. 
  • Review and implement financial policies and procedures in compliance with organizational guidelines and regulatory requirements. 
  • Identify areas for cost optimization, and provide recommendations for improvement. 
  • Coordinate with internal auditors for the project audits and external auditors during the annual audit process. 

2. Administration and Operations: 

  • Oversee the administrative functions of the organization, including office management, procurement, and logistics. 
  • Review and implement administrative policies and procedures to ensure efficient operations. 
  • Manage vendor relationships, negotiate contracts, and monitor service delivery. 
  • Supervise the administrative team, providing guidance and support as needed.
  • Ensure compliance with legal and regulatory requirements related to HR, taxation, and other relevant areas. 
  • Maintain and update organizational records, including contracts, licenses, and insurance policies.

3. Legal and Compliances: 

  • Ensure compliance with relevant laws, regulations, and internal policies.
  • Monitor internal control systems and recommend improvements to mitigate financial and operational risks. 
  • Stay updated on changes in financial regulations and best practices, and implement necessary adjustments. 
  • Ensure the organization is up to date with renewals and registrations 
  • Co-ordinate with SWC and local government bodies regarding the project approval 
  • Ensure all work being done is following the PA logframe 
  • Stay abreast of all requirements in order to ensure organization complies with all Nepalese statutes and regulations, particularly Social Welfare Council (SWC), including tax-related requirements, annual non-profit reporting requirements, employment requirements and audit requirements, among others 

4. Grant and Donor Management: 

  • Manage the financial aspects of grants and donor funding, including budgeting, reporting, and compliance. 
  • Support in preparing grant proposals, budgets, and financial reports for submission to donors. 
  • Monitor grant expenditures, ensuring compliance with donor regulations and reporting requirements. 

5. Team Collaboration and Leadership: 

  • Provide leadership and guidance to the finance and administrative team. 
  • Foster a collaborative and positive work environment, promoting effective communication and teamwork, within the team and with the project team 
  • Mentor and train staff on financial management, compliance, and administrative procedures. 
  • Coordinate with project leads and stakeholders to support organizational goals and objectives.
