Reports To: Head of Repair and Maintenance Department/Administration Manager

Job Purpose

The Repair and Maintenance Officer is responsible for ensuring that all organizational facilities, equipment, furniture, utilities, and physical assets remain in good working condition. The incumbent shall perform routine inspections, undertake minor maintenance works, coordinate with external vendors and service providers for specialized repairs, supervise outsourced maintenance work, and maintain maintenance records to ensure a safe, efficient, and well-maintained workplace.

Key Duties and Responsibilities

1. Facility Inspection and Preventive Maintenance

Conduct routine inspections of office buildings, classrooms, workspaces, washrooms, parking areas, and other facilities.
Identify maintenance issues before they become major problems.
Develop and implement preventive maintenance schedules for organizational assets.
Monitor the condition of buildings and recommend repair or replacement when necessary.

2. Minor Repair and Maintenance

Carry out minor repairs related to:

Electrical fixtures (lighting, switches, sockets, etc.)
Plumbing fixtures (faucets, sinks, toilets, etc.)
Carpentry and furniture
Door and window fittings
Painting and finishing
Office fixtures and equipment

Ensure all repairs are completed safely and efficiently.

3. Vendor and Contractor Coordination

Identify qualified external technicians, contractors, and maintenance service providers.
Obtain quotations for repair and maintenance work as per organizational procurement procedures.
Coordinate appointments and supervise outsourced maintenance activities.
Verify completion and quality of work performed by contractors.
Ensure contractors comply with organizational safety standards and contractual requirements.
Maintain a database of approved vendors and service providers.

4. Equipment and Asset Maintenance

Coordinate regular servicing and repairs of organizational equipment including but not limited to:

Air conditioning systems
Generators
Water pumps
Electrical systems
CCTV and security systems
Fire safety equipment
Office furniture
Computers and office equipment (through IT vendors where applicable)
Musical instruments, laboratory equipment, or specialized institutional equipment (if applicable)

5. Maintenance Request Management

Receive maintenance requests from departments.
Prioritize repair works based on urgency and operational needs.
Assign work either for in-house repair or outsourced service.
Ensure timely completion of maintenance requests.
Follow up with users to confirm satisfactory completion.

6. Procurement and Inventory

Prepare estimates for maintenance materials and repair costs.
Request quotations from suppliers.
Recommend procurement of maintenance materials and replacement equipment.
Maintain inventory of maintenance tools, spare parts, and consumable materials.
Ensure proper storage and accountability of maintenance tools.

7. Budget Monitoring

Assist in preparing annual repair and maintenance budgets.
Monitor maintenance expenditures.
Recommend cost-effective repair solutions.
Compare vendor quotations and recommend the most suitable service provider.

8. Safety and Compliance

Ensure facilities comply with workplace safety standards.
Monitor fire safety equipment and emergency exits.
Coordinate periodic servicing of fire extinguishers, generators, elevators (if applicable), and other mandatory inspections.
Immediately report safety hazards requiring urgent attention.

9. Documentation and Reporting

Maintain accurate records of:

Maintenance requests
Preventive maintenance schedules
Repair history
Contractor performance
Service agreements
Warranty information
Asset maintenance records
Monthly maintenance reports
Annual maintenance plans

10. Emergency Response

Respond promptly to urgent maintenance issues.
Coordinate emergency repair services during breakdowns.
Assist management during emergencies affecting organizational facilities.

11. Other Duties

Assist during organizational programs requiring facility setup.
Recommend facility improvements.
Perform any other duties assigned by Management relating to organizational maintenance and asset management.

Job Specification

Required qualifications for this job

Required Education Level:School (SLC/ SEE)

Required Experience:More than 2 years

Other Specification

Required Qualifications

Should have cleared SEE or capable of reading and writing. Knows general ideas of communication and technology.
Technical certification in electrical, plumbing, HVAC, or building maintenance is an added advantage.

Experience

Minimum 2–3 years of experience in repair, maintenance, facility management, or building administration. Freshers are also welcome.
Experience in coordinating contractors and outsourced maintenance services is highly desirable.

The Repair and Maintenance Officer is authorized to:

Recommend replacement of damaged assets.
Request maintenance materials in accordance with procurement procedures.

Working Conditions

Combination of office-based administrative work and on-site inspections.
Occasional lifting of equipment and maintenance materials.
May require after-hours availability during emergency breakdowns.
Frequent interaction with vendors, contractors, and organizational staff.
