ROLE PURPOSE:

We work together, with our partners from civil societies and government, to inspire breakthroughs in the way the world treats children and to achieve immediate and lasting change in their lives. We reached approximately two million populations and invested over 29 million US  dollars in 2012 to reach more children than ever before, through programmes in Health, Nutrition, Education, Protection and Child Rights and Governance, Livelihood, HIV and AIDS,  and Humanitarian crises.
The purpose of this position is to handle incoming and outgoing telephone calls efficiently including welcoming visitors and help guide them to concerned staff members. He/she is responsible for well functioning of store in regional office.

SCOPE OF ROLE: 

Reports to: Admin Finance Coordinator

Dimensions: Save the Children works in 57 districts of Nepal and nationally in Bhutan with a current staff complement of approximately 300 staff and current expenditure of approximately $US 30 million each year.

Staff directly reporting to this post: 

KEY AREAS OF ACCOUNTABILITY:

  • Receive and answer all the telephone call politely and professionally including taking messages and forwarding it to the concerned staff members accurately and immediately. 
  • Contact outside number for other staff on their request. Arrange appointment with government, NGOs, INGOs, staff as requested 
  • Manage the front desk by providing friendly, polite and efficient interface between the agency and the visitors. 
  • Ensure that the reception area is neat, clean, informative and visitor friendly. 
  • Maintain a register for trunk calls and keep record of all calls. Any personal call made during the month of telecom bill should be indicated so and forwarded to the finance section within six days of receiving bill for payment action    
  • Maintained updated telephone directory both personal and official 
  • Responsible for maintenance of telephone an intercom system and refer any major problem to Logistics and Procurement Officer.
  • Maintain outgoing and incoming letter reference number registers as instructed. 
  • Responsible for documenting all day to day incoming and out-going documents
  • Operate and update RO inventories in computerized inventory system regularly.
  • Maintain the files and filing of RO Store.
  • Prepare and submit inventory reports as and when needed.
  • Guide and provide technical support to physical verification team and report preparation.
  • Provide secretarial support to the staff members when required.
  • Document the agreements, reports and publications.
  • Carry out assigned tasks related to the operation department. 
  • Support CP officer in Kailali for general documentation of the CP Program and others official business.
  • Support to manage and update library in FWRO
