Objective:
The Project Coordinator coordinates in line with the project’s goals, strategies, and objectives and ensures interventions are delivered to a high standard, in the best interest of the child, with project beneficiaries at the center of all decisions and activities. The role includes direct mentoring, guidance, and constructive supervision to the project team and ensures they have the capacity to deliver their requirements and assess the quality of implementation.
This role provides overall leadership and coordination for the effective, timely, and quality implementation of the project, ensuring that children at risk receive appropriate temporary protection services, case management, family reintegration, and family-strengthening support, while strengthening community-based child protection mechanisms and government ownership of sustainable family-based care and protection systems.

(R1) Project and Finance Management:
- Lead the overall planning, coordination and implementation of the project on behalf of SYS.
- Develop, review and regularly update annual, quarterly and monthly project implementation plans.
- Ensure project activities are implemented in accordance with the approved proposal, logical framework, work plan, budget and organizational policies.
- Coordinate all project components and ensure effective linkages among child protection,
- Temporary Protection Service (TPS), case management, family reintegration, alternative care, community mobilization and family strengthening activities.
- Monitor overall project progress against approved outputs, outcomes, targets and indicators.
- Identify implementation challenges, risks and gaps and develop appropriate corrective actions in consultation with SYS management and THIS.
- Maintain an updated project activity calendar, implementation tracker and risk management register.
- Coordinate financial and administrative requirements with the Finance and Administration
- Officer and ensure appropriate utilisation of project resources.
- Ensure procurement, logistics, assets and other operational requirements are managed in accordance with SYS and donor requirements.
- Promote sustainability, cost-effectiveness and government ownership of project interventions.
- Ensure safeguarding, child-centered practice, gender equality, inclusion, and non- discrimination are integrated across project implementation.
(R2) Child Protection and Temporary Protection Service:
- Ensure that all project interventions are guided by the best interests of the child and relevant child protection standards and procedures.
- Lead and coordinate the effective operationalization and functioning of the Temporary Protection Service (TPS).
- Coordinate with Manthali Municipality, the Child Welfare Officer, and the TPS Management
- Committee for effective operation of the TPS.
- Ensure that the TPS functions as a temporary protection and transition service and does not become a long-term residential child care facility.
- Ensure appropriate admission, assessment, care, referral, family tracing, reunification and discharge procedures are followed.
- Ensure children receive safe, appropriate and child-centered temporary care, psychosocial support, education, health and other necessary services.
- Coordinate appropriate assessment and referral of vulnerable, separated, unaccounted for and at-risk children.
- Coordinate with Community Service Organizations(CSOs), Child Helpline 1098, Police 100, and National Coordination for Children at Risk 104, local governments, National Child Rights Council and other relevant referral mechanisms.
- Ensure appropriate pre-rescue assessment and case management procedures are followed before decisions concerning removal or alternative care.
- Ensure confidential and secure management of child and family information.
- Ensure safeguarding standards are maintained within the TPS and throughout project implementation.
- Monitor risks of re-institutionalization of children and promote family-based solutions wherever safe and in the best interests of the child.
(R3) Family Reintegration and Alternative Care Services:
- Ensure family reintegration is prioritized wherever it is safe and assessed to be in the best interests of the child.
- Coordinate family tracing, family assessment, reconnection, reunification and post-reunification follow-up.
- Ensure children and families are appropriately prepared and meaningfully participate in decisions concerning reunification and reintegration.
- Ensure quality case management and reintegration plans are developed and implemented for eligible children and families.
- Identify risks of re-separation and coordinate appropriate preventive and family-strengthening support.
- Facilitate livelihood, parenting and other appropriate support to strengthen families and prevent unnecessary separation.
- Support development and strengthening of family and community support groups.
- Strengthen community gatekeeping mechanisms for prevention, identification, referral and response to child protection concerns.
- Coordinate community awareness activities on child rights, child protection, family-based care, alternative care, family separation and reporting mechanisms.
- Mobilize parents, community leaders, teachers, youth, child clubs and other community actors to promote child protection.
- Promote family- and community-based alternative care and reduce unnecessary institutionalization.
- Coordinate with THIS technical staff for receiving technical guidance, mentoring, and capacity enhancement support throughout the project.
(R4) Coordination, Networking and Compliance:
- Maintain regular and effective coordination with Manthali Municipality and relevant local government authorities.
- Coordinate with the Child Welfare Officers, ward offices, local child rights committees and other child protection mechanisms.
- Facilitate regular coordination, review and joint monitoring meetings with government and relevant stakeholders.
- Support local government to strengthen child protection systems, referral mechanisms and community-based protection services.
- Facilitate government ownership and sustainability of the Temporary Protection Service.
- Advocate for local government resources and budget allocation for child protection and family- based care services.
- Engage civil society organizations, schools, health institutions, police, community groups, child clubs, local leaders and other relevant stakeholders.
- Strengthen coordination and referral linkages among government and non-government service providers.
- Represent SYS in relevant child protection coordination forums, meetings and consultations.
- Support policy dialogue, local child protection policy mapping and system-strengthening initiatives in coordination with THIS.
- Facilitate sharing of project evidence, learning and good practices with relevant stakeholders.
(R5) Team Leadership and Monitoring:
- Provide overall leadership, supervision and direction to the project team.
- Develop the team's work plans and regularly review individual and team performance.
- Conduct regular team meetings to review progress, challenges, priorities and follow-up actions.
- Mentor, coach and support staff to ensure effective and quality project implementation.
- Identify staff capacity-building needs and coordinate regarding technical support from THIS.
- Promote effective teamwork among social work, case management, community mobilization, livelihood and administrative functions.
- Monitor project activities against approved indicators, targets, work plans and quality standards.
- Conduct regular field monitoring and supervision visits.
- Verify project data, case records and information submitted by project staff.
- Maintain an updated project database and monitoring system.
- Track children receiving TPS, case management, reintegration and repatriation support.
- Monitor the wellbeing and adjustment of children following family reunification and reintegration.
- Facilitate feedback and complaint mechanisms for children, families and communities and ensure appropriate follow-up.
- Document lessons learned, good practices, challenges, case studies and success stories.
- Use monitoring findings, feedback and learning to improve project quality and effectiveness.
(R6) Reporting and Documentation
- Coordinate the preparation and timely submission of monthly, quarterly and annual project reports.
- Prepare and submit donor reports in accordance with approved reporting requirements.
- Coordinate preparation of TPS operational reports, activity reports and field monitoring reports.
- Ensure accurate and timely documentation of case management, family reintegration, and repatriation and TPS services.
- Compile and maintain project progress data, indicator tracking and results documentation.
- Coordinate preparation of stakeholder meeting minutes, monitoring reports and follow-up actions.
- Document success stories, case studies, lessons learned and good practices.
- Ensure proper documentation of project plans, budgets, activities, decisions and supporting documents. Provide timely information and reports required by SYS management, THIS, donors and relevant government authorities.
- Ensure project records and documentation are securely maintained and accessible for review, learning and audit purposes.
Working Days and Hours:
The post holder is required to work for 8 hours per day (including lunchtime) from 9 am to 5 pm, on office days, apart from field visits. There are times when SYS works beyond the hours of a normal workday and may require working overtime if necessary. Extended working hours may occasionally be necessary to complete comprehensive reporting requirements or manage urgent field-level operational emergencies.

Required Qualifications:
- At least a bachelor’s degree in Social Work, Sociology, or a related field (Master’s preferred).
- At least 5 years of project management experience in the non-profit sector, including team supervision.
- Knowledge of monitoring, evaluation, data collection, and impact analysis.
- Good knowledge of Nepal’s child protection policies and systems.
- Good written and spoken English and Nepali, including donor report writing.
- Good knowledge of non- profit financial management and budget planning in Nepal.
