Designation: Procurement Assistant
Reports to: Vendor and Logistics Officer
Location: Chandol, Kathmnadu, Nepal
Shift: Standard (09:00 AM to 05:00 PM) from Sunday to Friday

Position Overview:

As a Procurement Assistant, s/he will play a pivotal role in supporting the procurement team's efforts to source, purchase, and manage the necessary goods and services for our organization. His/her responsibilities will include administrative tasks, vendor communication, and maintaining accurate records. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to collaborate effectively in a dynamic procurement environment.

Roles and Responsibilities

  • Ensure that procurement policies and processes are in place to meet business objectives and operational needs in terms of price, quality, and delivery targets which enables the company to function and compete effectively in the market.
  • Reviewing existing contracts with suppliers and vendors to ensure ongoing feasibility.
  • Implement change and develop new processes to better procure goods and services.
  • Monitor business trends and product availability to pay the best price for company goods and services without sacrificing quality or delivery times.
  • Review and maintain a good record of purchasing files and records (purchase orders, contracts, etc.) to ensure compliance with company policies and procedures and ensure the availability of documentation.
  • Responsible for order placement timing, supply/demand alignment, material replenishment, and supplier performance.
  • Assist in controlling the procurement budget and promoting a culture of long-term savings on procurement costs.
  • Help to review and monitor capital purchases to ensure their compliance with company policies and procedures.
  • Building and maintaining long-term relationships with vendors and suppliers.
  • Negotiating with suppliers and vendors to secure long-term goals and objectives.
  • Evaluate vendors to ensure their performance is in place with established specifications.
  • Reporting on a regular basis to the Vendor and Logistics Officer.
  • Evaluate progress and prepare detailed reports.

Task Related

  • Bachelor’s degree or higher in Business Administration, or a related field required
  • 1 or more years of experience in related fields.
  • Proficiency in Microsoft Office and purchasing skills.

  • Well-developed oral and written communication skills.
  • Able to manage multiple projects at one time and ability to plan, delegate and evaluate progress toward goals.
  • Ability to work under pressure and meet deadlines within available timeframes.
  • Self-motivated and quick learner with a can-do attitude.
  • Good analytical and strategic thinking skills.
  • Strong negotiation skills.
  • Demonstrates effective communication and problem-solving skills.
  • Ability to manage time flexibility.
  • Must have a two-wheeler License.
