Job Description

The Procurement and Logistic Officer is responsible for the timely, cost-effective procurement of goods and services, and for managing logistics and supply chain activities, ensuring compliance with organizational policies and donor requirements. The role ensures that procurement and logistics are conducted efficiently to support smooth operations and program implementation.

Key Responsibilities:

A. Procurement:

  • Develop and implement procurement plans in coordination with program and operations teams.
  • Source, negotiate, and purchase goods and services in accordance with procurement policies and procedures.
  • Prepare and issue Request for Quotations (RFQs), Purchase Orders (POs), and contracts.
  • Maintain accurate records of all procurement processes, including bid evaluations and selection justifications.
  • Monitor supplier performance and ensure timely delivery of goods and services.
  • Ensure proper documentation, transparency, and compliance with donor and organizational guidelines.

B. Logistics and Asset Management:

  • Oversee transport and logistics operations including movement of goods and personnel.
  • Coordinate the receipt, inspection, storage, and dispatch of goods.
  • Maintain inventory and stock records of supplies, materials, and assets.
  • Organize and supervise loading/unloading, warehousing, and distribution activities.
  • Ensure that logistics procedures align with safety, security, and efficiency standards.

C. Administrative and Reporting:

  • Maintain procurement and logistics tracking tools and regularly update them.
  • Prepare regular reports on procurement status, stock levels, and logistical activities.
  • Support internal and external audits by ensuring proper documentation is in place.
  • Collaborate closely with finance, admin, and program teams for smooth coordination.
  • Oversee daily office operations, including managing supplies and equipment.
  • Support HR functions such as attendance tracking, ID cards and record-keeping.
  • Coordinate meetings, events, and workshops, including scheduling and minute-taking.
  • Facilitate effective internal and external communication and respond to information requests.
  • Assist in implementing administrative and HR policies and maintaining organized documentation.
