Job Description

1. Administrative Support:

  • Assist the Operations Manager in organizing and maintaining daily operational schedules and tasks.
  • Prepare and update internal documents, reports, and meeting notes.
  • Coordinate communication between departments to ensure timely execution of operational tasks. 

2. Resource Coordination:

  • Help with the coordination and management of resources, including staff, equipment, and supplies, to ensure operations run smoothly.
  • Track inventory and assist with ordering supplies as needed to meet operational demands.
  • Monitor operational logistics and provide support in addressing any gaps in resources.

3. Process and Workflow Assistance:

  • Assist with the implementation of operational processes and improvements to increase efficiency.
  • Help monitor workflow, track progress, and report any delays or issues to the Operations Manager.
  • Support the documentation and standardization of operating procedures.

4. Data Collection and Reporting:

  • Assist with the collection and analysis of operational data, including performance metrics and KPIs.
  • Prepare basic reports, summarizing key operational information for the Operations Manager.
  • Track and report on operational performance and assist in identifying areas for improvement.

5. Team Support:

  • Provide assistance in coordinating team schedules, meetings, and training sessions.
  • Help maintain communication between team members to ensure tasks are completed on time.
  • Provide general administrative support for operational team members as required.

6. Compliance and Documentation:

  • Ensure that operational activities comply with company policies and industry regulations.
  • Help maintain records and documentation related to operations, safety, and compliance.
  • Assist with audits and ensure all operational procedures are being followed.

7. Operational Support:

  • Identify and resolve minor operational issues and escalate more complex problems to the Operations Manager.
  • Assist in troubleshooting operational concerns and help to find solutions that minimize disruption.
  • Assist the Operations Manager with special projects as needed.
  • Perform other administrative tasks or duties as directed by the Operations Manager to ensure operational efficiency.
