We are seeking a motivated individual to join our team as a Mid-level Operations Assistant who will directly support to the operations manager and team to ensure efficient workflow and successful outcomes.
Key Responsibilities:
1. Inventory Management:
- Manage the purchase of inventories timely as per the company's requirement. Follow all the processes and procedures required for the same.
- Co-ordinate with the customers and manage inventories for sale.
- Maintain precise and real-time up-to-date records of all company inventory.
- Conduct regular physical verification of inventory to verify accuracy and address discrepancies.
2. Consumables Management:
- Manage the organizational requirements of items and services for day-to-day use in an efficient and resourceful manner. Look into whether the items are properly utilized without wastage. Maintain monthly budgeted requirements of such items and services.
- Maintain detailed records of consumables and submit fortnightly reports on usage.
3. Asset Management:
- Maintain a comprehensive asset register, tracking asset location, condition, and usage etc. in the fixed asset register.
- Ensure all assets are properly tagged and tracked throughout their lifecycle.
- Coordinate regular asset audits and inspections to ensure compliance with internal controls and regulatory requirements.
- Plan and implement preventive maintenance schedules to extend the lifespan of assets and avoid unexpected breakdowns.
- Manage insurance claims related to company assets.
4. Vendor and Collections Coordination:
- Follow up with vendors on cash collections for all business verticals.
- Maintain detailed records of follow-up schedules, client interactions, and comments, and generate weekly reports on collection activities.
- Ensure timely collection of outstanding dues from vendors and manage follow-ups on overdue accounts.
- Issue receipts for payments collected, ensuring they are accurate and complete.
5. Reporting & Documentation:
- Ensure proper record-keeping and reporting of all devices, equipment, stocks, consumables, and assets issued or transferred, using proper documentation such as gate passes.
- Keep records of all equipment issued to staff, ensuring that quality testing is conducted prior to distribution and that proper handover procedures are followed while returning.
- Keep accurate logs of all items provided for testing, including the number of days required, estimated return date, and follow-up actions for delayed returns. Ensure that the items issued for testing are returned on time.
- Ensure accurate and real-time reporting of inventory, assets, consumables, and other equipment in the office.
6. Support and Other Functions:
- Perform outdoor tasks as required by any other departments when required for the regular operations of the company.
- Issue timely bills and other invoices related to company inventories, assets, and any other equipment as required.
- Perform any other tasks as assigned by the supervisor from time to time.
