Reporting To: HR Manager

Position Summary

The HR Officer - Talent Management shall be responsible for managing employee performance management processes, probation evaluations, learning and development initiatives, employee engagement activities, and training coordination across the United Academy Group.

The role focuses on strengthening organizational performance culture, improving employee capability development, supporting continuous learning initiatives, and ensuring effective implementation of performance management systems and practices.

Key Objectives of the Role

Ensure effective implementation of performance management processes across all institutions.
Monitor and coordinate probation evaluations, appraisals, and Performance Improvement Plans (PIP).
Identify training and development needs aligned with organizational goals.
Coordinate employee learning and development initiatives.
Support employee engagement and organizational culture-building activities.
Maintain accurate performance and training documentation and reporting systems.

Scope of Work

The Talent Management Officer shall oversee performance management and learning & development activities for:

Teaching Staff
Non-Teaching Staff; Administrative Staff, Support Staff, Contractual/Temporary Employees, Interns and Trainees

Roles and Responsibilities

Performance Management

Track and monitor ongoing Performance Improvement Plan (PIP) cases including progress, developments, reviews, and closures.
Monitor and maintain employee appraisal processes including appraisal forms, scoring, evaluations, and database updates.
Coordinate with department heads and supervisors regarding employee performance concerns and follow-ups.
Track and coordinate probation evaluations of employees completing probation periods.
Maintain updated records of employee Job Descriptions (JD) and Key Performance Indicators (KPIs).
Maintain performance-related documentation, evaluation records, and confidential employee performance files.
Monitor daily performance dashboards and performance tracking systems.
Support management in implementing performance management frameworks and improvement initiatives.

Learning & Development

Coordinate training schedules and learning activities as required.
Identify training needs through appraisal feedback, departmental discussions, and organizational requirements.
Prepare Training Need Identification (TNI) reports and learning recommendations.
Coordinate and facilitate internal and external training programs for employees.
Support teaching methodology trainings, administrative skills development, leadership development, and employee capability enhancement programs.
Maintain training records, attendance, feedback, and learning documentation.
Monitor training effectiveness and maintain post-training follow-up records.

Employee Engagement & Onboarding

Coordinate employee engagement activities, initiatives, and culture-building programs.
Facilitate onboarding and induction programs for newly joined employees.
Coordinate orientation schedules and induction documentation.
Support initiatives that strengthen employee morale, communication, and organizational culture.

Attendance Management

Monitor and maintain daily attendance records of 2 institutions.
Conduct regular attendance reconciliation to ensure accuracy and timely reporting.
Prepare, maintain, and update employee duty rosters/shift schedules as required.
Monitor employee leave records and ensure proper reconciliation with attendance data and approved leave applications.
Track overtime (OT) records, verify approvals, and conduct periodic reconciliation.

Required Education Level:Graduate (Masters)

Required Experience:More than 1 year

Other Specification

Educational Qualification

Master’s Degree in any stream with Human Resource Management specialization.
Minimum 1–3 years of experience in Performance Management, Learning & Development, or HR Operations.
Experience in educational institutions/group organizations preferred.

The performance of the Talent Management Officer shall be evaluated based on:

Appraisal Completion Rate
Probation Confirmation Timeliness
Training as per TNI
PIP Success Rate
Employee Engagement

Authority and Decision-Making

The Talent Management Officer may:

Coordinate directly with department heads regarding performance evaluations and training requirements.
Recommend training programs and development initiatives.
Follow up on pending appraisal, probation, and PIP processes.
Escalate unresolved performance concerns or delays to HR Management.

Final approvals related to employee confirmation, appraisal outcomes, disciplinary decisions, and organizational development initiatives shall remain with authorized management personnel.
