Reporting To: HR Manager

Position Summary

The HR Officer - Talent Acquisition shall be responsible for managing end-to-end recruitment operations across the United Academy Group to ensure timely hiring of competent and culture-fit Teaching and Non-Teaching staff. The role includes sourcing, screening, coordinating interviews, maintaining recruitment records, managing candidate experience, supporting employer branding initiatives, and generating recruitment analytics and reports.

The position plays a strategic role in strengthening workforce planning, reducing hiring turnaround time, improving hiring quality, and supporting institutional growth through efficient talent acquisition practices.

Key Objectives of the Role

Ensure timely fulfillment of manpower requirements across all institutions and departments.
Build and maintain a strong talent pipeline for future hiring needs.
Standardize and streamline recruitment processes across the group.
Improve candidate experience and employer branding.
Maintain accurate recruitment data and reporting systems.
Coordinate effectively with department heads and management during recruitment activities.

Scope of Work

The Talent Acquisition Officer shall oversee recruitment activities for:

Teaching Staff
Non-Teaching Staff; Administrative Staff, Support Staff, Contractual/Temporary Employees, Interns and Trainees

Roles and Responsibilities

Recruitment Operations

Conduct annual workforce planning in alignment with academic and operational requirements.
Receive, review, and verify approved human resource requisition forms from respective departments.
Screen and shortlist applications/CVs based on approved job specifications and selection criteria.
Conduct preliminary screening and initial assessments of candidates.
Coordinate and schedule online and physical interviews across all locations with the respective interview panels.
Participate in interview panels and assess candidates as per organizational hiring standards.
Collect and maintain interview evaluations and feedback through the Interview Assessment Sheet.
Schedule written tests, demo classes, and assessments where required.
Coordinate final interviews and approval processes with Directors and concerned authorities.
Maintain timely communication with candidates regarding interview schedules, status updates, and follow-ups.
Complete the documentation and communicate employment offers to selected candidates upon approval.
Ensure recruitment practices comply with organizational policies and labor regulations.

Talent Sourcing and Pipeline Management

Source candidates through different channels; Job portals, Social media platforms, Employee referrals, Recruitment agencies, Institutional partnerships, Walk-ins and database sourcing.
Build and maintain a future talent pool database.
Develop position-specific top talent database.
Maintain categorized CV bank for future hiring requirements.

Recruitment Tracking

Maintain recruitment dashboard; Position, status, time to fill, interview conducted, available candidates, shortlisted candidates.
Track recruitment progress against hiring timelines.

Employer Branding

Prepare content for vacancy announcements.
Support social media and digital hiring campaigns.
Promote organizational culture and employer value proposition during recruitment interactions.
Participate in job fairs, campus recruitment, and institutional networking activities.

Attendance Management

Monitor and maintain daily attendance records of 2 institutions.
Conduct regular attendance reconciliation to ensure accuracy and timely reporting.
Prepare, maintain, and update employee duty rosters/shift schedules as required.
Monitor employee leave records and ensure proper reconciliation with attendance data and approved leave applications.
Track overtime (OT) records, verify approvals, and conduct periodic reconciliation.

Exit Management

Conduct and document exit interviews to identify employee concerns, trends, and improvement areas.
Ensure recovery of organizational assets, IDs, documents, and system access during employee exit.
Coordinate with accounts departments for final settlement processing.
Prepare and submit employee separation and attrition reports to management.

Required qualifications for this job

Required Education Level:Graduate (Masters)

Required Experience:More than 1 year

Other Specification

Educational Qualification

Master’s Degree in any stream with Human Resource Management specialization.
Minimum 1–3 years of experience in recruitment or talent acquisition.
Experience in educational institutions/group organizations preferred.

Authority and Decision-Making

The Talent Acquisition Officer may:

Coordinate directly with departmental heads for recruitment scheduling.
Recommend shortlisted candidates for final interviews.
Suggest recruitment sources and hiring strategies.
Escalate recruitment delays or concerns to HR Management.

Final hiring approval shall remain with authorized management personnel.
