Reporting To: HR Manager

Position Summary

The HR Officer – HR Operations shall be responsible for managing day-to-day HR operational activities across the United Academy Group to ensure smooth employee lifecycle management, accurate attendance and payroll coordination, compliance documentation, HRIS maintenance, and employee support services.

The role focuses on strengthening operational efficiency, maintaining accurate employee records, ensuring timely HR coordination, and supporting employee experience through effective HR administration and reporting practices.

Key Objectives of the Role

Ensure accurate and timely attendance, leave, overtime, and payroll coordination.
Maintain updated employee records and HR documentation.
Ensure smooth onboarding and employee facilitation processes.
Strengthen HR operational compliance and reporting systems.
Support employees with HR operational queries and services.
Streamline HR administrative processes across institutions.

3. Scope of Work

The HR Operations Officer shall oversee operational HR activities for:

Teaching Staff
Non-Teaching Staff; Administrative Staff, Support Staff, Contractual/Temporary Employees, Interns and Trainees

Roles and Responsibilities

HR Operations

Monitor and maintain daily attendance records across all units.
Conduct attendance reconciliation and ensure data accuracy.
Prepare and maintain employee duty rosters/shift schedules as required.
Monitor employee leave records and conduct leave reconciliation with approved applications.
Track overtime (OT) records, verify approvals, and conduct reconciliation and reporting.
Handle employee queries related to attendance, leave, overtime, payroll inputs, and payslips.
Coordinate payroll-related inputs including attendance, leave, overtime, deductions, and employee movement details.
Update HRIS records including new joiners, exits, transfers, promotions, confirmations, and other HR movements.
Maintain and update employee personal files in both digital and physical formats.
Prepare HR letters, notices, memos, employment documents, and maintain proper documentation records.
Coordinate issuance and tracking of ID cards, visiting cards, insurance enrollment, and related records.
Facilitate onboarding processes including biometric registration, HRIS setup, SSF enrollment, bank account coordination, and insurance documentation.
Track employee contract expiry dates and prepare contracts upon confirmation/renewal.
Conduct regular compliance checks of employee documentation and records.
Ensure confidentiality and proper maintenance of employee information and HR records.

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 1 year

Educational Qualification

Bachelor’s Degree or Master’s Degree in Management, Human Resource Management, or related field.
Minimum 1 year of experience in HR Operations or HR Administration.
Experience in educational institutions/group organizations preferred.

The performance of the HR Operations Officer shall be evaluated based on:

Documentation Compliance Rate
Absenteeism Reporting Accuracy

Authority and Decision-Making

The HR Operations Officer may:

Coordinate directly with departments regarding attendance, leave, and documentation matters.
Verify and reconcile operational HR data.
Recommend corrections in attendance, leave, or employee records.
Escalate discrepancies, compliance issues, or operational concerns to HR Management.

Final approvals related to payroll, employee status changes, and policy matters shall remain with authorized management personnel.
