Job Description

1. Finance and Accounting:
  Support From: DPG, AGS
  ➤Example of Actions:

  • Standard documentation and maintenance of the account books to record daily transactions as per the project and administrative needs.
  • Keep track of NGO’s regulations and existing policies and update them as per need.
  • Assist the internal and external auditor and follow up their recommendation for better accounting practice. 
  • Prepare specific project based financial record/report for teacher’s salary sponsorship, training and resource support, and building projects required to support the project management and also as per the need or the project partners like ward offices, rural municipalities, social welfare council or any other concerned bodies if any.
  • Prepare budget and periodic financial reports and documents as per the need of the the NGO, and also the need of the donors and local partners and support the fund-raising initiative of the charity.
  • Coordinate with DPG for a ‘business case’ to be included in any project proposal that properly reflects the costs to CITC and a viable financial plan.
  • Assist procurement management process through annual plans based on the project requirement and maintain the documentation needs.
  • Support and control the financial management of the project through timely release of staff salaries, funds for any purchases and pays, confirmation of documentations and timely settlement of bills and advances. 
  • Managing asset register, carrying physical verification of the assets as per rules and regulation.
  • Develop and maintain relationship with staff, trustees, NGO members, partner schools, rural municipalities, donors, banks, social welfare council and other required bodies for better financial management system and practice in the office.

2. Human Resource and Communication:
   Support From: DGS, AGS, SS, ESLs
   ➤Example of Actions:

  • Organizing and development of personnel database like employee contracts, field visit records, leaves,  for better project management and delivery.
  • Work as focal person in the office for regular communication with project partners, visitors and other officials.
  • Work as safety and security contact point for the CITC staffs, keep track of healthand safety of staffs on field visit.
  • Assist in any recruitment process of the office and its projects by communicating with the candidates and partner schools about recruitment and selection criteria, issuing the employment contracts or teachers sponsorship letter.
  • Assisting the DPG on inducting the new staffs, familiarizing them with the organizations code of conduct, policies and procedures.
  • Ensure Social Security Fund, CIT, and tax related requirement of staffs and the life.

3. Procurement and Inventory Management:
 ➤Support From: SS, ESLs
 ➤Example of Actions:

  • Maintain record of all procurement documents as per the need of the finance and the projects.
  • Conduct market research and take lead on the procurement of office goods, equipment, stationery, materials, kitchen requirements, training materials.
  • Assist the procurement of the construction projects and other projects to maintain proper documentation.

4. Project Based Support:
 ➤ Support From: DPG, ESLS, Partner schools
 ➤ Example of Actions:

  • Coordinate the logistics for project-based activities like teachers training, field visits, trustees field visits monitoring and evaluations for smooth operation of the programs.
  • Coordinate the purchasing, packing and distribution of resources to schools based on project needs (library resources, menstrual kits, first aid resources, school resources and lesson plans).
  • Coordinate with ESLs to provide communication related support with the projects when the ESLs are in field.
  • Maintain regular contact with partner school for updates required for teachers’ sponsorship, training or any other project requirement.
