Job Description

We are looking for an organized and proactive Office Secretary to manage daily office operations, support administrative tasks, and ensure the smooth functioning of office activities. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a keen attention to detail.

Key Responsibilities:

  • Answer phone calls, take messages, and direct inquiries to the appropriate department or individual.
  • Manage and schedule appointments, meetings, and travel arrangements for staff and executives.
  • Maintain and update office files, records, and documents in an organized manner.
  • Prepare and edit correspondence, reports, and presentations as needed.
  • Coordinate office activities, events, and meetings, ensuring all necessary arrangements are made.
  • Handle office supplies inventory and place orders when necessary.
  • Greet visitors and clients, ensuring a positive and professional experience.
  • Assist in preparing and processing official documents, including letters, memos, and reports.
  • Perform basic bookkeeping and clerical tasks such as managing office expenses and invoices.
  • Support other administrative tasks as needed by management.
