Job Description

  • Maintains office schedule by picking-up and delivering items using an automobile. 
  • Handling incoming calls, greeting clients and visitors and forward information by receiving and distributing communications. 
  • Recording information and managing filing system as needed. 
  • Maintains equipment by ensuring that preventive maintenance is being done, troubleshooting failures, calling for repairs, and monitoring equipment operation ( All office equipment: Computers, Laptops, Printers, Scanners, Telephones, etc) 
  • Bookkeeping: monitoring and recording expenditures. 
  • Planning and scheduling: Planning events like board meetings, appointments and visits. 
  • Collecting and mailing correspondence; copying information. 
  • Checking inventory records for accuracy and compiling reports on various aspects of changes in production or inventory 
  • Keeping records of items out, received, or transferred to another location. 
  • Maintaining supplies by checking stock to determine inventory levels, anticipating requirements, verifying receipt, stocking items. 
  • Book travel arrangements, meetings. 
  • Research deals or suppliers to get the best advantageous outcome for the company and employees; also negotiate terms with suppliers to ensure the most cost-effective orders 
  • Produce reports, presentations and briefs. 
  • Managing office supplies stock and placing orders. 
  • Updating paperwork and maintaining documents  
  • Help organize and maintain office common areas 
  • Perform general office clerk duties and errands. 
  • Serves customers by backing-up receptionist, answering questions, forwarding messages 
  • Other duties as assigned by the concerned authority.
