Job Description

The Office Assistant will provide comprehensive administrative support to both the Sales and Accounting teams. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment. This role requires excellent communication skills and the ability to collaborate effectively with various departments.

Key Responsibilities:

Sales Support:

  • Respond to customer inquiries and provide exceptional customer service.
  • Support the sales team with lead generation activities and follow-up.
  • Prepare sales proposal and quotations.

Accounting Support:

  • Assist in processing invoices, expense reports, and purchase orders.
  • Support accounts receivable and accounts payable functions.
  • Assist in the preparation of account reconciliation

General Administrative Duties:

  • Answer and direct phone calls and emails to the appropriate personnel.
  • Perform general clerical duties, such as photocopying, filing, and scanning documents.
  • Provide support to other departments as needed.

Qualifications:

  • High school diploma or equivalent; associate's degree or higher preferred.
  • Proven experience as an office assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with accounting software.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • Ability to handle confidential information with discretion.
  • Have own 2-wheeler with valid driving license.

Working Conditions

  • Primarily office-based with occasional off-site visits
  • Standard working hours with some flexibility required for peak periods or deadlines.
