Job Description

The Member Services And Recreational Supervisor is responsible for overseeing the member service unit of AMA including Recreation and Membership Administration. Provide welcoming discrete customer service that is on the level with international organizations. 

DUTIES AND RESPONSIBILITIES

Member Duties & Responsibilities: 

  • Follow all USG and AMA policies and procedures and ensure clear and accurate information is always conveyed to members regarding all aspects of AMA operations. When necessary, manage member complaints process ensuring response times and quality of information provided is appropriate and according to policy. 
  • Prospective and New members: Ensures that accurate information about all aspects of AMA operations, facilities and policies is provided to prospective members.  
  • Conduct property tours and on boarding for all prospective and approved members. 
  • Oversee the process of evaluations to ensure member records maintain data integrity and while mitigating entry errors. 
  • Maintain responses to frequently asked questions and/or develop efficient workflows for frequently performed tasks. 
  • Inform management to frequent member queries and suggest adaptations to policies and services based on member feedback. 
  • Liaise with the RSO-FSNI office to arrange for the necessary background screening when required. 
  • Assist the Member Service Manager in promoting/during events and activities. 
  • Undertake delegated tasks from the Members Services Manager in a timely and efficiently and ensure that new ideas of policies are sustained. 
  • Assist and encourage involvement of Recreation & Member Services staff with special events. 
  • Ensure that administrative & recreational staff accurately book various recreation facilities e.g., Phora field, Bobby Mahal, Swimming pool, Squash court.   
  • In absence of Member Service Manager, supervise and oversee the supervision of all internal and freelance recreation team members and member service team. 
  • Provides any necessary assistance and support to the Accounting Department and Member Service Managers and auditors to ensure that AMA operates in a fiscally sound manner. 
  • Assist Member Service Manager in any drills conducted by AMA or at the Phora Compound. 
  • Performing other duties as assigned by the Manager. 

 Member Service Supervision

  • Ensure that the Admin Assistants follow the appropriate protocols with the member’s applications, data entry and filing along with making sure that all the entries are done correctly. 
  • Ensure a timely response is provided to the queries and concerns that come to the Admin Office. 
  • Supervise the Admin Assistants with day-to-day administrative work. 
  • Maintaining the attendance and schedules for both Member Services and Recreational team. 
  • Maintain and requisite stationery. 
  • Assisting the Member Service Manager to reach the sales goals along with suggesting various ideas for the annual budget & planning. 
  • Keep track of sales and maintain the aging report. 
  • Fill in the team member as and when needed. 
  • Consulting with the Member Services Manager before any decisive ideas are presented to the team or members alike. 
  • Lead the Member Services and Recreation team in the absence of the Member Service Manager.

 Recreational Supervision: 

  • Engage with members & gather feedback on recreation activities to ensure activity schedule meets their needs and reflects all different member groups across AMA.  
  • Ensure that daily cleaning and maintenance is performed in these areas. 
  • Schedule maintenance and repairs to recreational equipment and facilities.  

QUALIFICATIONS

Skills and Experience

  • Being passionate about the administrative and recreation field 
  • Highly Competent in Microsoft Office applications. 
  • Experience in customer services to international clients. 
  • Commercial awareness & understanding of financial management and compliance processes.  
  • Fluency in written and vocal English language. 
  • Bachelor’s degree preferred
