Jan Jagaran Youth Club (JJYC) is a non-government organization established in Bara in 24th Paush 2054. Since its establishment JJYC Bara is working on Education, Children & women Development, Economic growth & Empowerment, Health, Water, Sanitation & Hygiene, Governance and Social justice and Humanitarian Aid and Resilience community.

Job Title: Learning and Documentation Officer (LDO)

Location: Kalaiya Bara with frequently field visits to programme districts

Line Manager: Project Manager

Overall Purpose of the Role

  • Assist Project Manager in preparation of all kinds of report (Event, Monthly, Quarterly, Half yearly and Yearly report) required by the project and donor
  • Take lead in documentation of success, communication and learning of the project

Duties and Responsibilities

Programme Development, Planning and Implementation 

  • Maintain a set of documentation of meetings/training organized
  • Collection, compilation and production of Case Studies and success stories
  • Collect the updated training manuals, guidelines and others when needed
  • Develop program concept note, proposal and preparing press release 
  • Organizing an archiving system and control the access to documents
  • Working with Project Manager and Project Team to ensure quality an dconsistency of documentation practice across the organization.
  • Utilizing storage software and applications for electronic filing.
  • Establish electronic filing system and backup system of the program 
  • Carried out research/survey/assessment activities in the projects 
  • Analysis of survey data/reports and provide guidance for program improvement
  • Enhance Media communication, dissemination, sharing and networking
  • Ensure the collection, sharing and disseminating of the project experiences, learning and good practices 
  • Work closely with other team members and strengthen M&E system
  • Support in organizational development activities 

Programme Monitoring and Reporting

  • Monitor implementation of activities through regular field visits and interactions with communities, local government bodies and other stakeholders.
  • Document and disseminate promising approaches, technologies, guidelines and learning of the programme for advocacy and policy development.
  • Compile various reports (monthly, quarterly, bi-annual, annual etc.) and other information 
  • Support to conduct programmatic monitoring, reviews, assessments and evaluation of the programme.

Coordination and Networking

  • Maintain and establish cordial working relationship with various stakeholders from government, civil society and schools at both local and district level
Other specific responsibilities as assigned

  • Professionally discharge assignments/ tasks delegated/dispensed by ED
  • Be proactive in brining innovations and to take new initiatives into the program and partners
  • Initiate joint monitoring visits in collaboration with local government and other key stakeholders and feed in program team for the effective implementation of program intervention

Education and Experience 

  • Completed Bachelor/Master’s degree in social science or management discipline
  • Minimum of 5 years working experience in managerial position for Bachelor or, 2 years for Masters at basic level
  • 2 years of working experience in education sector
  • Strong project management knowledge 
  • Experience working on consortium projects

Language Requirement 

  • Fluency in both spoken and written Nepali and English languages is required
  • Knowledge of local language

Other Competency Required

  • Good understanding of the socio-economic and political context of Nepal 
  • Knowledge of local laws and compliances 
  • LFA, M&E and reporting skills 
  • Planning and budgeting skills 
  • Communication and coordination skills 
  • Good command on computer application including MS Excel, Word, Power Point 

Other Information

The Annual Leave entitlement for full-time staff is 24 working days per year, plus 13 public holidays. The other benefits are: 13th salary and office contribution to Provident Fund, Transport and Communication Allowance. Eligibility for some of the benefits will be upon completion of probation period and some may be available on a prorated basis depending upon the date of joining.
