Job Description

General Medical Suppliers is seeking a proactive and detail-oriented Inventory & Operations Officer to oversee inventory control, logistics, and day-to-day operational support. The ideal candidate will ensure the smooth flow of materials, optimize stock levels, and support operational efficiency across departments.

Department: Administration & Operations
Reports To: CEO/Inventory Officer

Responsibilities:

  • Oversee daily administrative operations, including office organization, documentation, and supply chain management.
  • Manage and maintain all inventory and stockroom activities including receiving, storing, issuing, and recording stock while ensuring accuracy through regular physical counts and system updates.
  • Track and manage vehicle usage through detailed vehicle logbooks, including fuel usage, mileage, maintenance schedules, and driver assignments, ensuring timely servicing and compliance with internal policies.
  • Coordinate office maintenance, repairs, and service contracts (e.g., electrical, plumbing,cleaning) to ensure facilities are clean, safe, and operational at all times.
  • Handle procurement activities for office and operational supplies, sourcing vendors, negotiating prices, and managing purchase orders and delivery timelines.
  • Supervise dispatch schedules, logistics, and delivery coordination to support business operations and client servicing.
  • Maintain accurate records for stock movement, inventory levels, and asset usage using inventory software or manual systems, ensuring accountability and timely replenishment.
  • Prepare and maintain administrative and operational reports, including stock summaries, maintenance logs, expense records, and resource utilization data for management review.
  • Efficiently manage inventory storage space and maintain a clean and organized stockroom.
  • Implement inventory control procedures to minimize losses or damages.
  • Generate inventory reports and provide analysis to management.

Note: Candidate must have 2 2-wheeler vehicles with a valid license.
