Role Overview: The Inventory Lead is responsible for the effective management of Karkhana’s inventory, ensuring accurate stock records, efficient organization of raw materials, and the seamless operation of the inventory system. This role is pivotal in maintaining the quality and availability of critical supplies, contributing directly to the success of Karkhana’s production processes.
Key Responsibilities:
Stock Record Maintenance:
- Maintain precise records of raw materials, ensuring all entries and updates are accurately documented.
- Monitor and maintain a stock of critical supplies, ensuring that essential materials are always available.
- Providing Raw Materials for Production:
- Ensure the timely provision of raw materials for production as per requests, coordinating with the production team to meet their needs.
Managing Inventory System:
- Implement a robust system for stock inflow and outflow to support production needs.
- Create and enforce ground rules for inventory management, ensuring all team members adhere to established protocols.
- Maintain a stock record in coordination with the Financial Officer on a weekly basis.
Training and Development:
- Design and conduct training sessions for Production and Inventory Community (PIC) members to enhance their understanding of the variety of materials and inventory processes.
Inventory Organization:
- Sort and categorize stock based on the value of the stock and the velocity of its use.
- Ensure each item is stored in a designated storage box and that the quantity recorded matches the physical count.
- Organize the inventory to ensure raw materials are easily accessible and clearly labeled.
- Conduct physical inspections of stock to check for any damaged items and maintain cleanliness in the inventory area.
Quality Control:
- Ensure the quality of all stock entering the inventory, coordinating with the Procurement Lead to address any discrepancies.
- Check the quality of received goods while signing the Goods Received Sheet (GRS).
- Maintain records of damaged items and ensure they are accounted for properly.
- Reconcile physical stock records with the Inventory Management System (IMS) periodically to maintain accuracy.
Recording and Report Stock:
- Maintain a physical record of stock in the stock record sheet in each carton box.
- Provide detailed records of materials returned and damaged after production.
- Provide detailed records of missing materials in inventory.
- Maintain updated inventory data digitally.
- Maintain both physical and digital records of the GRS against the purchase order (PO).
- Provide monthly stock reports, detailing the current inventory levels, usage rates, and any discrepancies.
- Deliver daily inflow and outflow reports to track the movement of materials in and out of the inventory.
Production Coordination
- Support in designing and implementing an efficient production tracking system
- Oversee the production process, ensuring quality and quantity targets are met.
- Ensure all production materials are tracked, stored properly, and available for use.
- Lead the team in producing semi-finished and finished materials, conducting quality checks.
- Coordinate with team supervisors to set priorities and address production issues.

- Proven experience in inventory management, with a strong understanding of stock control processes.
- Ability to design and implement inventory systems that enhance efficiency and accuracy.
- Strong organizational skills, with attention to detail and a commitment to maintaining high standards of quality.

- Proficiency in inventory management software and reporting tools.
