Roles and responsibilities of this job

HR Associate is responsible to provide administrative and operational support across various HR functions, including recruitment, onboarding, employee records management, and benefits coordination. The HR Associate will assist with various administrative tasks, ensuring the smooth operation of HR processes and maintaining a positive employee experience.

Report to: HR Manager

Areas of Responsibility

1. HR Operation

Coordinate and assist in the recruitment process, including posting job openings, shortlisting candidates, conducting interviews, and onboarding new employees.
Oversee the recording, tracking, and approval of employee leaves, including annual, sick, maternity/paternity, and unpaid leaves.
Address any discrepancies or issues related to employee attendance and leave in coordination with supervisors and facility managers.
Prepare and manage official letters, such as offer letters, employment contracts, promotion letters, transfer letters, and termination letters.
Ensure all employee records are maintained and updated accurately and securely.

2. HRIS Software Management

Administer and maintain the Human Resource Information System (HRIS) to ensure accurate employee data management and reporting.
Ensure that employee information is updated regularly in the HRIS, including new hires, promotions, transfers, and terminations.
Generate HR-related reports from the HRIS as needed, such as headcount, turnover rates, and training progress.

3. Employee Relations

Work on employee engagement activities.

4. Reporting

5. Provide general administrative support, including filing, scheduling meetings, and organizing HR events.

6. Any other task assigned by the supervisor/ Head of department.

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:Less than 1 year

Other Specification

Bachelor's degree in Human Resource Management, Business Administration, Management, Psychology, or a related field.
Prior experience in Human Resources, Administration, or a related role is preferred.
Sound understanding of HR policies, labor laws, and HR best practices.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong knowledge of HRIS systems and employee database management.
Excellent verbal and written communication skills in English and Nepali.
Strong organizational and time-management skills with the ability to handle multiple tasks simultaneously.
Good interpersonal skills and the ability to maintain positive employee relations.
