  • 3–4 years of experience in administration, student services, or HR (offshore or onshore), with a strong focus on supporting students and managing HR functions.
  • Strong command of written and spoken English, with the ability to communicate professionally and clearly with students and staff.
  • High level of accuracy and attention to detail in document handling, data entry, and managing confidential information with integrity and discretion.
  • Proficient in Microsoft Office 365 (Excel, Outlook, Word, Teams) and comfortable learning new systems; experience using CRMs or student management systems (e.g., RTO Manager, aXcelerate) is highly regarded.

  • Experience supporting recruitment activities, including job postings, candidate screening, scheduling interviews, and onboarding, while maintaining accurate and confidential employee records.
  • Coordinate payroll inputs, attendance, leave records, and benefits administration, ensuring compliance with employment laws and internal HR policies.
  • Assist with planning and executing training, orientation, development programs, and performance appraisals.
  • Provide guidance on HR policies, procedures, and grievance handling, ensuring compliance with organizational and legal requirements.
  • Foster employee engagement through communication, wellness programs, and team-building activities, while promoting a positive and professional attitude.
  • Ability to work independently and as part of a remote or Australian-based team across time zones, with a willingness to learn, adapt, and align with company values and service standards.
  • Participate in continuous improvement initiatives for both student and HR systems and processes.

Job Description

  • Support recruitment activities, including job postings, screening, interview scheduling, and onboarding; maintain accurate and confidential employee records.
  • Coordinate payroll inputs, attendance, leave records, and benefits administration, while providing guidance on HR policies, procedures, and grievance handling.
  • Assist in planning and executing training, orientation, and development programs, ensuring compliance with HR policies and employment laws.
  • Provide timely and professional support to students via email, phone, and messaging platforms; maintain accurate student records in systems like RTO Manager and aXcelerate.
  • Process enrolment forms, academic requests, and general documentation; coordinate student communications, including course updates, certificates, and important notices.
  • Liaise with trainers and coordinators to resolve academic or administrative queries, and perform daily administrative tasks such as attendance tracking and results processing.
  • Monitor and update internal trackers and spreadsheets to reflect student progress, completions, and pending tasks; ensure all student interactions comply with confidentiality and data protection policies.
  • Assist in issuing documents such as offer letters, confirmation letters, certificates, and Statements of Attainment; escalate sensitive issues to the appropriate department or manager.
  • Contribute to improving internal processes, FAQs, and service workflows, ensuring compliance with company policies and administrative procedures.
  • Coordinate performance appraisal processes, foster staff engagement through communication, wellness, and team-building activities, and prepare HR reports for internal reviews.
  • Participate in continuous improvement initiatives for both HR systems and student service processes.
