Job Description

The HR and Admin Assistant will support both the administrative and human resources functions of the organization to ensure smooth and efficient operations. This role requires a dynamic individual with strong organizational, communication, and interpersonal skills. The position is key to maintaining HR systems, supporting recruitment and orientation, managing records and data, assisting in reporting, and ensuring compliance with administrative and HR policies.

Key Responsibilities

Human Resource Responsibilities

  • Maintain and update accurate employee records (both physical and digital).
  • Assist in the recruitment process (job postings, application screening, interview coordination).
  • Conduct orientation for new employees and assist with onboarding.
  • Respond to employee queries regarding HR policies, rules, and procedures.
  • Coordinate HR activities, including training, seminars, and workshops.
  • Stay updated on organizational HR and administrative policies.
  • Ensure confidentiality and secure handling of employee records.

Administrative Responsibilities

  • Provide daily administrative support to ensure efficient head office operations.
  • Maintain centralized filing systems, both physical and digital, for reports and documents.
  • Organize and archive reports, presentations, and digital content (visuals, narratives).
  • Prepare presentation materials, infographics, and data analysis reports.
  • Coordinate logistics for internal events: training programs, graduations, outings, etc.
  • Carry out office tasks such as filing, copying, binding, scanning, and equipment maintenance.
  • Visit external offices (government agencies, banks) for renewals or as required.
  • Track and maintain office equipment and supply inventory.
  • Assist with project documentation and ensure systematic archiving.

Program Support

  • Maintain databases tracking program performance and metrics (health, academic progress).
  • Collect and consolidate reports from program coordinators.
  • Support the preparation of Monthly, Quarterly, Semi-annual, and Annual Reports.
  • Provide documentation support for School Sponsorship and Contact Centre programs.
  • Monitor work plans and calendars of the Head Office and Contact Centre staff.
  • Backstop Program Coordinators and Early Childhood School Readiness Programs, when required.
