  • Bachelor's degree; additional certification in Office Management is a plus
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Fluent written and verbal communication skills (English and Nepali both)
  • Ability to be resourceful and proactive when issues arise
  • Professional customer service attitude and appearance,  age between 25 and 35 years 
  • Proficiency in Microsoft Office packages 
  • Hands-on experience with office equipment (e.g. fax machines, photocopiers and printers)
  • Salary, working hours and facilities: As per the ITECO Nepal's rules
  • Responsible for the Front desk management and administrative support
  • At least five years of experience working as Office Secretary in a private or Non-Governmental Organization (preferably of an engineering background) with a staff size of more than 50 with following tasks efficiently handled.

Job Description

We, ITECO Nepal (P) Ltd. is an independent engineering consultancy company, founded in 1987 by a group of experienced professionals; are looking for an energetic, dynamic Front Desk Officer / Office Secretary to manage the front desk on a daily basis and to perform a variety of administrative and clerical tasks.

Responsibilities:

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office after screening
  • Answer, screen and forward incoming phone calls
  • Provide basic and accurate information in-person and via phone/email
  • Handling email/social-media and other correspondence on behalf of the organization
  • Maintaining dairies and arranging appointments
  • Filing and archiving of documents and files
  • Good interpersonal/communication skills
  • Processing bills or expenses
  • Organizing support for programs like Board of Directors Meeting and AGMs
  • Support in banking transaction of the organization
  • Record keeping attendance of staff
  • Vehicles deployment
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Update calendars and schedule meetings for Managing Director
  • Arrange travel (Air and over land) and accommodations, and prepare documentations
  • Perform other clerical secretarial duties such as filing, photocopying, transcribing and faxing for Managing Director
