Roles and responsibilities of this job

The Front Desk Associate is the first point of contact for visitors and callers, responsible for managing reception, handling inquiries, performing administrative tasks, and supporting daily office operations. The ideal candidate is professional, organized, customer-focused, and has excellent communication skills.

The ideal candidate should possess excellent communication skills, a positive attitude, strong organizational abilities, and a willingness to learn and grow within the organization.

Key Responsibilities

1. Office Secretary and Reception Management

Welcome clients, consultants, visitors, and guests in a warm, courteous, and professional manner.
Maintain the visitor register and ensure visitors are appropriately received and guided.
Inform relevant staff promptly upon visitors' arrival.
Manage incoming telephone calls and transfer calls professionally.
Receive and dispatch couriers, parcels, and official correspondence.
Ensure the reception and meeting areas remain organized, presentable, and welcoming at all times.
Maintain Attendance Records.

2. Administrative and Secretarial Support

Provide day-to-day administrative support to management and office staff.
Schedule appointments, meetings, and maintain calendars.
Prepare meeting rooms prior to meetings, including presentation equipment, refreshments, and stationery.
Take meeting notes and prepare Minutes of Meetings (MoM) when required.
Maintain office filing systems (both digital and physical).
Assist with document preparation, photocopying, printing, scanning, and record management.

3. Travel and Logistics Coordination

Arrange domestic and international flight bookings.
Coordinate hotel reservations and transportation.
Assist with visa documentation and travel itineraries when required.
Coordinate logistics for visiting consultants and international guests.

4. Corporate Communication

Draft professional emails, letters, and routine correspondence.
Assist with translation between English and Nepali.
Coordinate communication with clients, consultants, vendors, and service providers.
Maintain proper communication records.

5. Daily News and Market Intelligence

Review newspapers and reliable online sources on daily basis and prepare a concise summary highlighting development related to:

Roads and Highways
Hydropower
Infrastructure
Energy
Urban Development
Public Procurement
Government policy decisions
ADB, World Bank, MCC, JICA, AIIB, and other development partners
Upcoming tenders and Expressions of Interest (EOIs)

Submit the daily summary to management before the start of the working day.

6. Digital and Corporate Presence

Coordinate updates to the company website.
Assist in maintaining the company's LinkedIn page and other professional platforms.
Support the preparation of company presentations, brochures, newsletters, and promotional materials.
Coordinate photography and documentation of company events.

7. Office Administration

Coordinate office supplies, stationery, and pantry requirements.
Liaise with vendors and service providers.
Ensure meeting rooms and common areas are well maintained.
Support office events and official functions.
Assist in implementing office procedures and administrative systems.

8. Additional Responsibilities

Support management with special assignments.
Maintain confidentiality of company information.
Contribute to a positive, collaborative, and professional office environment.
Perform other administrative duties as assigned.

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 1 year

Other Specification

Bachelor's Degree in Business Administration, Management, Hospitality Management, English, or a related field.
Fresh graduates with excellent communication and interpersonal skills are encouraged to apply.

Experience

1 – 3 years of experience in Reception, Front Office, Administration, Customer Service, or Executive Support.
Experience in consulting, corporate offices, or international organizations will be an added advantage.

Technical Skills

Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
Good internet research skills.
Familiarity with Google Workspace.
Ability to prepare professional reports and presentations.
Basic knowledge of LinkedIn and social media platforms.
Basic Canva or graphic presentation skills will be an advantage.

Language Requirements

Excellent spoken and written English.
Excellent spoken and written Nepali.
Hindi language proficiency will be an added advantage.
