Job Description

The Front Desk Officer serves as the first point of contact for students, parents, staff, and visitors at the college. This role involves managing the reception area, providing information, addressing inquires, and ensuring smooth communication skills, a welcoming demeanor, and strong organizational abilities.

Key responsibilities:

1. Reception Management:

  • Greet and assist students, parents, staff, and visitors in a friendly and professional manner.
  • Manage the front desk area to ensure it is presentable and organized.
  • Answer, screen, and direct phone calls appropriately.

2. Information and Communication:

  • Provide information about college programs, events, admissions, and other inquires.
  • Respond to email and phone inquiries promptly and professionally.
  • Maintain and update brochures, notices, and materials for visitors.

3. Administrative Duties:

  • Schedule and coordinate appointments and meetings for administrative staffs.
  • Handle mail distributions, courier services, and other correspondence.
  • Maintain and update visitor logs and attendance records.
  • Assist with data entry and record keeping.

4. Student Support:

  • Direct students to appropriate departments for academic and non-academic concerns.
  • Assist with student forms, applications, and documentation processes.

5. Event and Facility Coordination:

  • Support the coordination of college events and activities as needed.
  • Manage access to meeting rooms and other college facilities.

6. Security and Protocols:

  • Enforce visitor’s sign-in protocols and ensure compliance with college policies.
  • Collaborate with security staff to maintain a safe environment.

Qualification and Skills:

  • Bachelor degree is preferred.
  • Proven experience in a front desk, receptionist, or customer service role. 
  • Excellent verbal and written communication skills.
  • Proficient in MS Office (Word, Excel, Power point) and email management.
  • Strong organizational and multitasking skills.
  • Friendly, professional, and approachable demeanor.
  • Ability to handle sensitive information confidentially.
